About The Position

The Operations Specialist is crucial to the success of Ball FloraPlant. We are seeking a detail-oriented and analytical professional to serve as a crucial liaison between our customers, internal teams and productions sites. This role requires a unique balance of analytical precision and detailed communication. The ideal candidate will have a strong ability to manage complex inventory systems and navigate computer-based processes while also fostering positive relationships through clear, honest, and collaborative interactions. This role protects and delivers on the promise we make with every customer to deliver orders on time, in-full, first quality with world-class customer service.

Requirements

  • 3-5 years of customer service, operations and analytical experience is preferred
  • Bachelor’s Degree or equivalent experience in customer service, operations, and/or horticulture required
  • Intermediate-level proficiency with Excel, Word, Outlook and PowerPoint required
  • Highly organized with strong attention to detail
  • Demonstrated commitment to world class customer service, teamwork and quality
  • Embrace new initiatives and complex challenges with energy, responsiveness, and a results-oriented mindset.
  • Communicate clear, accurate, and actionable information to customers, vendors, and team members in a timely manner.

Responsibilities

  • Create and manage delivery downloads and shipping priorities to production sites and communicate inventory and shipment delays to customers in a timely, accurate, and effective manner to provide customers with fast notification of challenges and optimal alterative booking options
  • Manage the end-to-end overbooking and shortages process, including reviewing requests, assessing inventory gaps, developing action plans, conducting root-cause analysis, and communicating updates to cross-functional teams
  • Manage the billing and inventory charge process to ensure accuracy, timeliness, and compliance with internal procedures
  • Develop and maintain positive professional relationships with production farms, sales representatives, internal and external customers through friendly, timely and accurate communication to ensure the highest possible level of service from Ball FloraPlant Operations
  • Enter late order changes, trial orders and act as customer service contact for key accounts to provide fast follow-up for product representatives and customers on urgent requests
  • Create essential demand and booking reports to support the Ball FloraPlant Operations and Logistics team
  • Support the team/department by cross-training with other members of the operations team to support vacations or time away
  • Collaborate with Ball FloraPlant Operations, Logistics and Sales teams to support special projects as assigned
