About The Position

The Operations Specialist is responsible for overseeing end-to-end service order (SO) execution, ensuring accuracy, timeliness, and compliance across invoicing, proposals, extensions, and SLAs. This role provides operational support to the VPO, manages critical tracking and reporting tools, resolves escalations, and partners closely with internal teams, vendors, and leadership to maintain service excellence and financial integrity. Requirements

  • Experience in service order management, operations, or invoicing support.
  • Strong audit, analytical, and organizational skills.
  • Proficiency with operational systems and reporting tools.
  • Ability to manage multiple priorities and deadlines.
  • Strong communication, vendor management, and leadership skills.

Responsibilities

  • Review and approve service proposals and invoices prior to submission.
  • Audit service orders to ensure accuracy, completeness, and compliance with contractual requirements.
  • Monitor and manage unmapped invoices, on-call services, extensions, and PTO through established trackers.
  • Submit and track Service Level Agreements (SLAs) and ensure adherence to deadlines.
  • Maintain disciplined follow-up across validation and approval queues.
  • Maintain, update, and ensure data integrity within EcoBPM, RM Tool, and related systems.
  • Track, analyze, and report operational metrics, trends, and risks to leadership.
  • Develop, update, and enforce Standard Operating Procedures (SOPs).
  • Identify process improvement opportunities and support implementation efforts.
  • Serve as the primary point of contact for service order, invoicing, and vendor escalations.
  • Coordinate with vendors, internal departments, and leadership to resolve issues efficiently.
  • Support the VPO with special projects and operational initiatives.
  • Support Facilities Operators to help meet performance expectations.
  • Conduct bi-weekly team meetings and regular 1:1s with operators.
  • Provide training, feedback, and guidance as needed.
