The Operations Specialist role is to provide administrative support to the Vice president Operations/General Superintendent and Safety Department. As a member of the operations team the Operations Specialist will work within a cooperative team environment to achieve projects completed on time, within budget in a professional manner.

Nice To Haves

Responsibilities

  • Establish a crew loading/milestone schedule for each project and update this bi-weekly with information provided by the project team.
  • Use this information along with weekly look ahead schedules to maintain and update the company manpower projections weekly.
  • Call each project if original contract hours or Change order hours are not being updated, or bi-weekly information is not current.
  • Update and distribute Staff availability report bi-weekly.
  • Provide Administrative Support to the Chairman of the Superintendent Steering Committee: coordinate the ordering of breakfast for the meetings, attend monthly meeting, assisting with logistic of OCI trainings, and provide communication to the field from the Steering Committee via a monthly newsletter.
  • Maintain the foreman/superintendent mail areas. Order forms and keep forms in stock.
  • Write Site Specific Safety Plans.
  • Price/Purchase field safety incentives and distribute to the field.
  • Manage software related with safety such as Safe Site, Overaa Hub Safety Page, Click Safety, ISNET, etc.
  • Assemble/Distribute safety startup packages for projects.
  • Manage files related to incidents, Safety Alerts, Quarterly Updates, etc.
  • Keep safety department files both physical and electronic current.
  • Write meeting minutes from the safety team meeting.
  • Create and distribute safety newsletter/flash to the field.
  • Assist with Safety training (at Richmond Training Center) i.e. order lunch, make copies, build class roster, send reminders, post no-shows, input training records into database etc.
  • Assist in coordination of special training, registration and payments/billings, accommodations and scheduling refresher training i.e., crane operator training and physicals, confined space rescue team, Hazwoper 40 hour, 30-hour OSHA etc.
  • Print and handout ID cards, input vendor training, distribute project QR code related within AnchoRock.
  • Administrative duties as directed by the General Superintendent.
  • Maintain 300 log, 300A and Bureau of Labor Statistics Survey.
  • Working with the dispatcher the Operations Specialist should become familiar with all aspects of dispatching craftsmen.
  • Take phone calls from Superintendents and Craftsmen and return all calls that day.
