You’ll interact with professional high-level decision-makers and help deliver high-visibility work that people actually see in the real world. This role owns order completion after sales handoff. You will own intake from sales, keep orders from getting stuck in process, own timing and completion, and coordinate the moving pieces required to get work completed quickly and smoothly. That includes post-conversion client communication on the order, install back-planning, vendor and installer coordination, and keeping design, production, and field execution aligned. This is a true ownership seat, not a narrow admin lane. You will report to the Owner, manage the install team, and eventually help oversee production managers at future satellite locations. The right person is organized, decisive, direct, and comfortable pushing ambiguity out of the process before it becomes expensive.

Requirements

  • 3+ years of project management, project coordination, operations coordination, or production coordination experience in a deadline-driven environment
  • Proven ability to keep multiple jobs moving at once without losing details
  • Strong instinct for driving clarity, tightening loose handoffs, and pushing ambiguity out of the process
  • Confident following up decisively with clients, vendors, and internal team members to keep work moving
  • Able to manage a fast-moving install calendar and juggle multiple installs in a day
  • Strong written and verbal communication
  • Comfortable working inside CRM, job-tracking, scheduling, and production systems
  • Able to make sound day-to-day decisions and escalate issues early instead of letting them stall
  • Valid driver’s license and clean driving record
  • Reliable in-person attendance, Monday through Friday
  • Able to move between office, shop, client sites, and install locations as needed
  • Comfortable conducting site surveys, including occasional ladder work
  • Comfortable occasionally lifting samples, packages, or materials related to site visits, deliveries, or install prep
  • Able to arrive earlier than the team when needed to stay ahead of the day

Nice To Haves

  • Signage, graphics, print, wrap, or installation-industry experience
  • Experience coordinating outsourced production or subcontract installers
  • Experience in a fast-paced project or service business with many small and mid-sized jobs moving at once
  • Familiarity with scheduling installs, deliveries, or field crews
  • Experience working with commercial clients, job packets, proofs, or production handoffs
  • A strong instinct for clarity, organization, and follow-through
  • The ability to be direct, decisive, and calm under pressure
  • A bias toward action when a job starts to drift
  • Strong judgment about what needs immediate attention and what can wait
  • Comfort managing a fast-moving day with multiple active jobs and install commitments

Responsibilities

  • Own intake from sales and confirm each order has the information required to move cleanly into execution
  • Communicate and push incomplete or unclear handoffs back to sales until the missing details are resolved
  • Lock down scope, install timing, client contacts, site details, and execution needs before work moves forward
  • Build and maintain clear job visibility so priorities, risks, and next steps stay obvious
  • Own order timing from handoff through completion
  • Keep jobs moving through design, production, outsourced pieces, and installation without letting them stall
  • Build and manage the install schedule, including juggling multiple installs in a day when needed
  • Back-plan installs and other deadlines so design, production, materials, vendors, and field execution stay aligned
  • Perform non-consultive site surveys
  • Perform deliveries
  • Own post-conversion client communication on the order from kickoff through completion
  • Coordinate subcontract installers, outside vendors, site needs, and other external moving pieces
  • Conduct site surveys and gather the information needed to keep work executable
  • Send pickup, delivery, and completion communication clearly and on time
  • Direct the install team and keep field execution aligned with the schedule and job priorities
  • Hold internal and external partners to deadlines and follow through until work is complete
  • Escalate risks early instead of letting them sit
  • Help build the operating discipline required to support future satellite locations
