About The Position

This role is for First Vice President level candidates. About the Bank: Sumitomo Mitsui Trust Bank, Limited was established through the merger of The Sumitomo Trust and Banking Co., Ltd with Chuo Mitsui Trust and Banking, Ltd. on April 1, 2012. The Bank provides an assortment of financial solutions and manages a broad spectrum of financial products across its global branches. DEPARTMENT OVERVIEW: The Americas Division (“AD”) was established in the Sumitomo Mitsui Trust Bank, Limited, New York Branch) (“SMTBNY”) to perform corporate functions and supervise U.S. entities. Established under the AD are the “Global Banking Unit (“GBU”), Americas Division” and “Global Market Unit (“GMU”), Americas Division” which performs business functions. The Planning Department (“PLN”) provides a strategic management framework for the formulation and implementation of integrated business and organizational objectives across the New York Branch. Working in conjunction with the JGM/PLN, the Planning Department researches, recommends and implements plans for offensive and defensive actions intended to maintain and build competitive advantage and sound organizational management. The plans recommended by Planning Department require input from all departments during the development stage, so that the plans become an operational guideline that is transparent and meaningful to the staff responsible for implementation and execution. YOUR ROLE OVERVIEW: Manage the NYB implementation of the new Global Banking System Introduction Project (“Project Unite”,) and make and implement the operational plans to enhance operational efficiency and control operational risks.

Requirements

  • MBAs degree in relevant field or its equivalent with at least 9 years of related experience.
  • Management skills in building and motivating successful teams with 5+ years of management or supervisory experience
  • Proficiency with PC in business-related applications and MS Office.
  • Excellent communication skills and ability to provide constructive feedback.
  • Strong understanding of the Americas Division business lines, products, and services and a strong understanding of the department discipline, policies, and procedures.
  • Good mathematical skills, especially with business related applications.
  • Excellent written and verbal communication skills.
  • Strong project management and people management skills.

Responsibilities

  • Maintain and improve operational risk management frameworks of AD as 1st-line-of-defense by effectively utilizing existing frameworks such as Internal Controllers Group, Internal Inspection, Operational Irregularities Reporting and Control Risk Assessment.
  • Responsible for Business Process Re-engineering in As-Is workflow, establishing efficient To-Be workflow and establishing and making necessary changes/updates to procedures manuals based on the new system architecture, by reviewing and analyzing the current workflows, designing and implementing new workflows with support from business users.
  • Design and assist with restructuring the organization for more efficient operations within the NY Branch to fit within the market development and new system architecture, in compliance with State and Federal regulations as well as internal compliance requirements, including but not limited to visualizing the operational functions, exploring industry standards of the organization for operation and segregation of duties, and taking into consideration operational risk controls and operational efficiency.
  • SUCCESSFULLY INTERACT WITH THE NY BRANCH STAFF TO ACHIEVE BRANCH-WIDE OBJECTIVES IN THE PROJECT, OPERATION PLANNING AND OPERATIONAL RISK CONTROLS THROUGH THE INITIATIVES SUCH AS INTERNAL CONTROLLER GROUP, INTERNAL INSPECTION OR USER MANAGEMENT FOR THE OPERATION TOOLS AND APPLICATIONS (E.G. ADOBE ACROBAT, DOCUSIGN).
  • BUILD AND CARRY OUT THE FRAMEWORK TO EDUCATE AND TRAIN STAFF IN OPERATIONS DEPARTMENTS ABOUT THE OPERATIONAL RISKS AND EFFICIENCY ENHANCEMENT, THEN PERFORM ONGOING TRAINING, AND REVIEW AND COMMUNICATE CURRENT OR DEVELOPING OPERATIONAL TOPICS/CONCERNS OR STANDARDS. COMMUNICATE TRAINING NEEDS AND COMPLETION WITH HRD.
  • SUPPORT THE 1ST-LINE-OF-DEFENSE DEPARTMENTS IN RESOLVING THE OPERATIONAL ISSUES, BY IDENTIFYING THE ROOT CAUSES, DESIGNING THE PREVENTIVE MEASURE OR WORKING AS A LIAISON AMONG THE RELEVANT COUNTERPARTS SO AS TO IMPROVE THEIR COMMUNICATION.
  • MANAGE THE ANNUAL FEDERAL/STATE EXAMINATIONS AS WELL AS OTHER EXTERNAL/INTERNAL AUDITS REGARDING THE ABOVE-MENTIONED TASKS (I.E. OPERATION PLANNING AND PROJECT). FOLLOW UP AND CORRECT ANY ITEMS ADDRESSED TO ENSURE NECESSARY CHANGES OR RECOMMENDATIONS HAVE BEEN IMPLEMENTED, AS DIRECTED.
  • Assist user departments with projects that affect AD due to global systems or operational requirements, and work with IT department to serve as a coordinator within AD. Implement project management, including liaison with head office, as directed by Management, when New Global Banking System Introduction Project (former PJ-Unite), Devon Replacement PJ, and related projects resumed.
  • Work with IT department on the implementation and maintenance of systems and services that do not have a specific user department or are used by many departments within the branch, as a user representative or coordinator, such as E-workflow, Sharepoint, and MS teams.
  • To accomplish the above, plan and execute independently, including hiring outside vendors and subordinates under the direction of Management.
  • Report on the overall activities and project status and progress on a regular basis to Senior Management Group members, if necessary.
  • PERFORM OTHER DUTIES AND RESPONSIBILITIES AS ASSIGNED BY MANAGEMENT.
