About The Position

Kearns Rotolo Law, a renowned full-service law firm based in Lebanon, NJ, with over 30 years of experience, is seeking an Operations Manager. The firm, led by Anthony P. Kearns, III, and Victor A. Rotolo, serves clients across New Jersey in practice areas including criminal defense, family law, personal injury, and DUI. The Operations Manager will play a crucial role in modernizing and streamlining firm operations as the firm continues to grow. Reporting directly to the Managing Partner and Office Manager, this role will enable the firm to fully implement transformative concepts learned from their ongoing partnership with Crisp, enhancing client and operational outcomes. Requirements

• Proven experience in operations leadership within a small professional services setting, legal preferred.
• Proficient in implementing case management systems and leveraging operational software tools.
• Skilled in data analysis, dashboard creation, and using insights to inform operational improvements.
• Familiarity with AI tools and their practical applications in enhancing operational efficiency.
• Strong ability to manage team dynamics and drive accountability across various roles.
• Comfortable in a collaborative setting, willing to wear multiple hats and engage in hands-on work.

Nice To Haves

• Experience managing marketing operations and evaluating performance strategies is a plus.
• Understanding of CRISP methodologies and performance frameworks is beneficial.

Responsibilities

• Conduct comprehensive reviews of current processes, standardize workflows, and document SOPs across the firm.
• Act as the bridge between Crisp strategies and their execution firm-wide, ensuring team adoption of systems and KPIs.
• Develop performance metrics and career pathways, creating clear accountability and growth tracks for staff.
• Lead the selection and implementation of a case management infrastructure, enhancing data tracking and reporting capabilities.
• Identify and introduce AI tools to optimize workflows, training staff to integrate AI into daily operations effectively.
• Coordinate existing marketing efforts, assess ROI, and streamline processes, potentially bringing more marketing functions in-house.
• Build systems to generate regular performance reports, providing leadership with clear operational insights.
