About the position

The School Operations Manager is the operational leader of the school. S/he is critical to the successful and efficient running of the campus. This position is central to the realization of our mission as it provides the School Leader and Deans the opportunity to focus almost exclusively on instruction and learning within the schools. The School Operations Manager will therefore be an individual who embraces innovation and continuous improvement, is willing to get his/her hands dirty, and relishes the challenge of finding ways to work smarter and more efficiently, all in support of ensuring the instructional staff and leaders can stay focused on instruction and learning. The School Operations Manager will report to the School Leader and manage the school front office team as well as outside vendors/service providers. They will also serve as a member of the school leadership team.

Responsibilities

  • Develop the school-wide operations vision that supports and operationalizes the academic and cultural vision of the school.
  • Play a leadership role in the school’s strategic and annual planning and budgeting processes.
  • Manage, coach, and develop school operations team members (including front office staff and vendors) and hold them accountable to goals and outcomes.
  • Serve as part of the School Ops team hiring committee.
  • Serve as the primary point of contact for the network operations team, responding to requests and collaborating with teammates across the network.
  • Ensure that all operations staff team members are properly cross-trained on Front Office Systems.
  • Work closely with the principal to develop the school’s annual budget.
  • Assist the principal in managing the school budget throughout the year.
  • Oversee the school purchasing process by establishing and following clear protocols.
  • Oversee the school payment process for all fees.
  • Approve school purchases under a specific financial threshold.
  • Monitor facilities issues, including maintenance and campus safety.
  • Conduct facilities walkthroughs and liaise with building engineers.
  • Ensure that the main office is neat, organized, and welcoming.
  • Oversee all aspects of food service, including quality and compliance.
  • Manage the logistics of meal delivery.
  • Oversee all aspects of transportation including vendor management.
  • Develop communications and external relations through various channels.
  • Own all logistics of off-site field trips and on-site special events.
  • Lead the school opening/start-up process each year.
  • Manage the school's asset inventory in conjunction with the network operations team.
  • Oversee the accurate input and storage of student data.
  • Manage the Student Enrollment and Withdrawal process.
  • Ensure all student records are complete and up-to-date.
  • Ensure that the school is prepared for emergencies by conducting drills.
  • Work with the network human resources team to review time off data.
  • Communicate leave needs and critical dates to the human resources team.
  • Ensure that all accident reporting is completed in a timely manner.
  • Have a working knowledge of all Office Operations functions.

Requirements

  • Bachelor’s degree required, prefer candidate with a Master’s Degree.
  • 6+ years of progressive experience as an office manager or similar team lead position.
  • Prior leadership and management experience with a strong track record of results.
  • Excellent organizational and communication skills.
  • Friendly and able to work well with others in a fast-paced environment.
  • Ability to multi-task and work within an ambiguous, fast-moving environment.
  • Flexibility, with a strong work ethic and an entrepreneurial spirit.
  • Ethical.
  • Computer and financial literate, including Microsoft Word and Excel.
  • Commitment to the belief that outstanding school leaders, staff, and teachers can achieve excellent outcomes for all students.
