About The Position

Calming Nature Doula is a small, people-focused business dedicated to supporting families through compassionate doula care. Our mission is to improve maternal health outcomes and provide support to underserved communities, helping every client feel empowered and cared for during pregnancy, birth, and postpartum. The Operations & HR Coordinator will play a key role in keeping our business running smoothly. This hybrid role combines administrative support, human resources assistance, program/project coordination, and data collection/reporting. It’s an excellent opportunity for someone who enjoys being hands-on, wearing multiple hats, and making a direct impact in a small business environment.

Requirements

  • Bachelor’s degree in business administration, human resources, or related field (or equivalent experience).
  • 2–4 years of experience in administrative, HR, or project/program coordination roles.
  • Strong organizational, multitasking, and time-management skills.
  • Familiarity with HR practices and basic employment regulations.
  • Excellent communication and interpersonal skills.
  • Proficiency with Microsoft Office Suite, Google Workspace, and data collection/reporting tools (Excel, Sheets, or project management software).

Responsibilities

  • Manage scheduling, correspondence, and document preparation.
  • Maintain office systems, supplies, and vendor relationships.
  • Organize filing systems and ensure accurate recordkeeping.
  • Collect and organize operational data to support reporting and decision-making.
  • Assist the Owner with reporting, projects, and communication across the team.
  • Provide general support to staff and act as a point of contact for admin needs.
  • Post job openings, schedule interviews, and support recruitment logistics.
  • Coordinate new-hire onboarding and training.
  • Maintain confidential personnel files and HR records.
  • Track employee attendance, time-off requests, and payroll changes; liaise with payroll providers.
  • Collect HR-related data (e.g., retention, turnover, training outcomes) and prepare reports.
  • Assist with benefits enrollment and employee communications.
  • Support compliance with HR policies and labor regulations.
  • Support planning and execution of company programs, initiatives, and client projects.
  • Track deadlines, deliverables, and budgets to ensure projects stay on target.
  • Collect program data, measure outcomes, and prepare evaluation reports.
  • Coordinate communication between staff, vendors, and external stakeholders.
  • Identify opportunities to improve processes and increase program efficiency.
