About The Position

Jewish Family Service of San Diego (JFS)’s Patient Advocacy and Housing Services Division provides county-wide patient advocacy services in San Diego, housing/homeless services in Riverside and San Bernadino counties, and the Safe Parking Program in San Diego. The division has over 125 diverse staff members, 10 major contracts with government agencies and health care providers, and over 35 cost centers. This position is a newly created position in response to the exceptional growth the agency and this division have experienced in recent years. The Operations Director will provide on-going, high-level support to the Senior Director of Patient Advocacy and Housing Services. This position requires working closely with the JFS management team, members of the public, funders, and government officials. Duties include composing and preparing materials, coordinating schedules, handling communications and assisting with budgeting and fiscal management.

Requirements

  • Master’s degree in human services/social work/business administration or related field is preferred, bachelor’s degree required
  • Must pass pre-employment background check
  • A minimum of 5 years’ work experience managing and administering programs with experience in budget development and management
  • Valid driver’s license, access to an automobile, insurance, and willingness to drive to offsite locations including occasional overnight travel
  • Successful track record in setting priorities, shaping processes, managing staff and systems, and developing an infrastructure that creates a stronger and more efficient organization
  • Demonstrated project management, organizational, and leadership skills
  • Exceptional written/oral communication and ability to proofread/edit sensitive documents
  • Highly proficient in Microsoft Office programs including Teams, Word, Excel, Outlook, and PowerPoint
  • Knowledge of confidentiality laws
  • Excellent interpersonal skills and positive attitude
  • Sit, talk, listen, read, and write
  • Stand, walk, and use hands and arms to use a keyboard and handle papers
  • Occasionally climb or balance, stoop, kneel

Responsibilities

  • Build and maintain strong working relationships with internal departments including other programs departments, People & Culture, Finance/Accounting, Facilities, Community Impacts, and Technology Services
  • Have knowledge of divisional operations and administrative requirements and assist with contractual (Federal/State/County/City) compliance
  • Assist Directors with executing contractual audits and site visits by various government agencies to ensure agency meets or exceeds requirements
  • Coordinate all aspects of high-expenditure division purchases/leases, including vehicles, office space and furnishings, including research all permit requirements as applicable
  • Partner with the San Diego based Facilities & Business Operations team on these functions, for Palm Springs & Moreno Valley
  • Respond to major facility issues in Palm Springs and Moreno Valley, and support responding to facility issues at San Diego safe parking locations
  • Assist staff with developing and monitoring program and department budgets
  • Track expenditures, program budget variances, and propose solutions to address variances
  • Leverage technology to develop workflows and processes that streamline accounting tasks related to personnel and operational expenses, that get reported in claims and invoices
  • Provide daily written briefings to the Director to include daily updates, pending issues, potential challenges, and work with the Sr. Director to prioritize and strategize responses accordingly
  • Provide continued training and education to divisional leadership on administrative/operational functions and tasks for which they are responsible
  • Attend a variety of meetings on behalf of or in conjunction with the Director or other staff as assigned
  • Identify shared opportunities across the Division in staff training and professional development to support success, retention, and growth of staff at all levels
  • Coordinate and assign divisional program staff’s participation in community workshops, information sessions, and other outreach activities
