About The Position

Florida Atlantic University is seeking an Operations Coordinator for Facilities and Events. This position assists the Assistant Dean in property control and facilities management tasks. This position serves as the secondary building manager for the Arts and Letters Building Portfolio and the Fogelman Museum.

Requirements

  • Master's degree from an accredited institution in an appropriate area of specialization, or a bachelor's degree from an accredited institution in an appropriate area of specialization, and two years of appropriate experience required.

Responsibilities

  • Coordinate and manage use of college-managed spaces, including coordinating facilities use agreements, between location reservations, the EMS Platform, 25Live, and SharePoint.
  • Ensure the efficient use of college resources.
  • Track and enter Work orders for common college spaces (custodial, maintenance, coordinating access to secured spaces).
  • Proactive and regular review of college facilities conditions (restrooms, classroom conditions, HVAC, lighting, custodial).
  • Assist with Emergency management reporting.
  • Coordinate and manage college-owned equipment. (Golf carts, keys, common equipment.)
  • Manage all card access requests for all Arts and Letters buildings.
  • Coordinate and schedule events for the Associate Deans.
  • Assist in the planning and execution of college events and functions.
  • Schedule meetings and handle communications for the Dean team.
  • Provide secondary support to the Executive Assistant to the Dean as needed.
  • Collaborate with Arts and Letters administration on special projects as assigned.
  • Provide administrative support as needed.
  • Provide guidance and supervision to support staff, as required.
  • Foster a positive and productive work environment.
  • Manage and track purchasing activities, including procurement and budget management related to college resource maintenance.
  • Work in coordination with college policies and procedures.
  • Prepare and maintain documents and reports as directed by the Dean Team.
  • Ensure accuracy and timeliness in reporting.
  • Other job-related duties as assigned by supervisor.
