The Smile Lodge is looking for an enthusiastic Operations Assistant to join our team — someone who brings warmth, organization, and genuine care to every patient and family interaction. About The Smile Lodge The Smile Lodge is a growing multi-location dental group practice proudly serving 65,000+ patient families across the Capital Region. We offer both pediatric and orthodontic care across our Clifton Park and East Greenbush locations — and we believe that a great patient experience begins the moment a family calls us or walks through our doors. Our Operations team is at the heart of making that happen.

Requirements

  • Prior front desk experience strongly preferred — orthodontic or pediatric experience is a plus but not a requirement
  • Strong customer service background with excellent written and verbal communication skills
  • Sharp attention to detail with a follow-through mindset
  • Comfortable traveling between our Clifton Park and East Greenbush locations- with a set 4-day work week working 7a-5:30p
  • A genuine love for connecting with people and being part of a team-first culture

Responsibilities

  • Be the warm, welcoming first point of contact — answering phones and greeting patients and guardians with genuine enthusiasm
  • Schedule appointments accurately following clinical guidelines, insurance frequency, patient due dates, and scheduling templates
  • Verify and update contact and insurance information at check-in with accuracy and care
  • Collect patient payments and assist families with setting up payment plans as needed
  • Complete thorough appointment checkouts — including claim creation, reviewing treatment and cost details, completing notes, and collecting balances
  • Communicate clearly and professionally using email templates, quick notes, and documentation tools
  • Complete daily tasks assigned and contribute to the overall flow and energy of the team
