Bravera Insurance is hiring for an Operations Assistant in Bismarck, ND. This position is responsible for routing incoming phone calls, greeting & directing customers to the appropriate staff and assisting the Internal Operations Department.

Requirements

  • High school diploma or equivalent
  • Present a positive and professional image of Bravera to customers and staff at all times.
  • PC Proficiency in a windows environment required, including Word, Excel and Outlook.
  • Must have exceptional telephone etiquette, good organizational skills, and be thorough, patient, and detail oriented.
  • Ability to work in a fast-paced environment with ever-changing priorities.
  • Proficiency in keyboarding.
  • Ability to provide top notch customer service to all internal and external customers.

Nice To Haves

  • Associate degree in business or related filed or other secondary education preferred.

Responsibilities

  • Present a positive and professional image of Bravera Insurance to customers and staff at all times.
  • Route incoming phone calls to the appropriate person and will deliver accurate phone messages. Must understand all features of the phone system and assist staff members in utilizing options.
  • Greet all customers, visitors and guests and direct to the appropriate staff member.
  • Receive, sort, and distribute all incoming Bravera Insurance mail. Responsible for receiving, sorting, and distributing all incoming e-mails received through corporate e-mail account and faxes.
  • Retrieves agency documents (renewals, endorsements, etc) from carrier websites according to carrier specific instructions.
  • Collects and prepares all outgoing mail for carriers and remote locations.
  • Prepares receipt of payment from carrier website for customer payments that are brought into the office.
  • Completes agency bank deposits as needed.
  • Process claims suspense items and updates Epic with claim payment and status updates.
  • Assist with administrative tasks as requested including correspondence, special projects, mail merges, filing, copying, collating, and running and compiling a variety of reports, manuals, statements, etc., including those of a highly confidential nature. This also includes working the Insurance Contact mail making sure that mail is distributed in a timely manner. Registering and updating the roster for CE courses, updating weekly onboarding reports and monthly Personal Lines monthly renewal reports, along with keeping up to date company contacts and termination appointments. Assisting with projects given by AM’s/Producers.
  • Maintain an orderly and efficient front office area and conference room, including monitoring office supplies and compiling an order, as needed.
  • Maintain a neat, attractive reception area.
  • Maintain a high level of confidentiality and professionalism regarding all employee and customer issues and information.
  • Adhere to all insurance rules and regulations, including but not limited to the requirements of the Bank Secrecy Act. In addition, the employee will be proactive in the prevention of illegal activities, will vigilantly look for activities that may constitute any type of fraud including money laundering, and will report any suspicious activity to the BSA Officer.
  • Will be required to drive a company vehicle with some overnight travel required. Must maintain a clear driving record in order to maintain coverage under Bravera’s vehicle insurance provider.
