About The Position

The Operations Assistant is a key position in the operations of the Home Health clinical teams at Wellstar. This role involves varied responsibilities including processing payroll for field staff and office personnel, handling department-specific accounts payable, managing patient start of care paperwork, and answering incoming calls from patients, physicians, and referral sources. The assistant is also responsible for creating patient-specific documents, patient lab registration, follow-up and tracking, ordering patient supplies, ensuring accuracy of patient census, initiating and updating daily, weekly, monthly on-call rotation, tracking PTO requests, reconciling visits to order profiles, and processing hospital communicators. This position supports teams providing service within a six-county area, managing a growing patient census of approximately 450+ patients and 120 staff. Requirements

  • High School Diploma General or GED General
  • All certifications are required upon hire unless otherwise stated
  • Minimum 2 years administrative or operational assistance experience, preferably in a healthcare or homecare setting

Responsibilities

  • Accurately process weekly time, into payroll system
  • Order and pull patient care supplies, as needed
  • Fax/mail discharge instructions and medication list to patients, as directed
  • Maintain and track calendars for on-call, PTO rotation, holiday coverage, communicate with team members
  • Order office-based supplies, as needed
  • Create Admission packets
  • Timely and accurate registration of patient labs
  • Follow and tracking of patient lab results
  • Assist patient care staff, with needs, to enable world-class service
  • Monitor ROC process, to ensure timely resumption of care is established
  • Answer incoming calls, timely & routing appropriately
  • Monitor and produce accurate patient census
  • Accurate and timely processing of accounts payable
  • Produce daily and weekly status update reports
  • Tracking of patient start of care paperwork, to comply with CMS regulations
  • Performs other duties as assigned
