About The Position

Kids In Crisis is Connecticut's ONLY free, round-the-clock agency providing emergency shelter , crisis counseling and community educational programs for children of all ages and families dealing with a wide range of crises, including domestic violence, mental health and family problems, substance abuse, economic difficulties and more. The Operations Assistant Director is responsible for the comprehensive oversight, maintenance, and operational integrity of all Kids In Crisis facilities and assets. This includes managing two buildings on the organization's campus, overseeing all maintenance and repair activities, managing vendor and service contracts, coordinating technology and IT infrastructure, and ensuring the safe and efficient operation of the agency's fleet of vehicles. The ideal candidate is highly organized, proactive, and hands-on - someone who takes pride in maintaining a welcoming, functional, and safe environment that supports the mission of Kids In Crisis.

Requirements

  • Bachelor's degree or equivalent professional experience in facilities management, operations, or a related field.
  • Minimum of 5–7 years of experience overseeing building operations, property management, or related maintenance functions.
  • Strong understanding of building systems (HVAC, plumbing, electrical, fire safety).
  • Experience managing vendors and service contracts.
  • Excellent organizational, communication, and problem-solving skills.
  • Ability to manage multiple projects simultaneously and respond to facility emergencies.

Nice To Haves

  • Working knowledge of IT systems and hardware infrastructure preferred.

Responsibilities

  • Facilities Management Oversee the daily operations, maintenance, and upkeep of all buildings and grounds on the Kids In Crisis campus. Coordinate routine maintenance, repairs, inspections, and capital improvements. Supervise and evaluate external maintenance, cleaning, and landscaping vendors. Develop and manage preventive maintenance schedules to extend the life of facilities and equipment. Maintain compliance with local, state, and federal building codes, safety regulations, and licensing requirements. Serve as primary liaison for fire inspections, HVAC service, plumbing, electrical, and other building systems.
  • Vendor and Contract Administration Manage all vendor relationships and service contracts related to facilities, IT, and maintenance. Negotiate and track vendor agreements, warranties, and renewals. Review invoices for accuracy and authorize work orders as needed. Solicit bids for major projects and coordinate contractor work.
  • Information Technology Oversight Serve as primary liaison with the organization's IT vendor to manage network systems, phones, security cameras, and technology infrastructure. Coordinate computer upgrades, replacements, and technology purchases. Track and maintain an up-to-date IT inventory of all devices and systems. Ensure staff have reliable access to technology tools needed to perform their roles.
  • Fleet Management Oversee the Kids In Crisis vehicle fleet, including maintenance, registrations, inspections, and insurance documentation. Develop and maintain vehicle usage logs and maintenance schedules. Coordinate repairs and replacements as needed to ensure reliability and safety.
  • Administration & Budgeting Develop and manage the facilities and maintenance budget, including forecasting for capital projects. Maintain organized records for all maintenance, equipment, vehicles, and IT assets. Collaborate with the finance and operations team to align expenditures with organizational priorities.
