About The Position

The position provides administrative, clerical, and operational support to the Environmental Public Health and Public Health Preparedness programs. This position ensures efficient office operations, accurate data management, and timely coordination of program activities. The role requires strong organizational skills, attention to detail, and the ability to communicate effectively with internal staff, external partners, and the public.

Requirements

Responsibilities

  • Enter and update data in state and local databases for environmental health and preparedness programs.
  • Track and monitor permit applications, inspection schedules, compliance deadlines, and preparedness training records.
  • Generate reports for program leadership and regulatory agencies as needed.
  • Support staff in preparing documentation for regulatory compliance, audits, and emergency preparedness requirements.
  • Ensure confidentiality and accuracy of sensitive health and environmental records.
  • Coordinates quality improvement initiatives and participates in cross-departmental programs.
  • Creates, maintains, and updates EPH policies and procedures.
  • Schedule meetings, prepare agendas, and maintain calendars for both programs.
  • Draft, edit, and distribute correspondence, reports, and official documents.
  • Maintain organized filing systems (electronic and paper) for program records, permits, inspection reports, and preparedness plans.
  • Works with the Personnel Liaison to fill positions within hiring protocols.
  • Creates, maintains, and updates EPH policies and procedures.
  • Process invoices, purchase orders, and payment requests for the EPH and PHP programs.
  • Assist with budget tracking and reconciliation for EPH and PHP expenditures.
  • Maintain inventory of office supplies and preparedness materials; order replacements as needed.
  • Coordinate logistics for training sessions, public meetings, emergency drills, and outreach events.
  • Communicate effectively with internal teams, external partners, and the public to support program goals.
  • Performs other duties as assigned.
