The Operations Analyst II position at the Department of Elder Affairs is a highly responsible role focused on providing comprehensive administrative support within a team environment. The position involves managing client information, ensuring data accuracy, and facilitating communication between various stakeholders to promote the well-being and independence of Florida's seniors. The analyst will play a crucial role in data management, client assessments, and maintaining compliance with state and federal regulations.

  • Input client information into the Client Information and Registration Tracking System (CIRTS) and maintain data files on Medicaid clients.
  • Review documents for completeness and appropriateness prior to inputting, rejecting and/or clarifying documents as needed.
  • Compile and analyze data for administrative decisions.
  • Contact clients to schedule assessments and arrange staff schedules efficiently.
  • Initiate, receive, and screen telephone calls, providing routine information and routing calls appropriately.
  • Act as a liaison between the Central Office, Bureau of Information Technology (BIT), and the field office for equipment maintenance and troubleshooting.
  • Maintain CARES files using approved filing methods and electronic file room instructions.
  • Track purchase orders and billing receipts from vendors and adhere to timely purchasing deadlines.
  • Complete annual medical recertification process of SMMC Long-Term Care enrollees as assigned.
  • Monitor and prioritize cases assigned through an annual recertification process.
  • Bachelor's degree or higher from an accredited college or university with a major in a related field, or a combination of education and professional experience totaling four or more years in a related field.
  • Strong written and oral communication skills with correct grammar, punctuation, and spelling.
  • Detail-oriented with the ability to enter data accurately into a computerized system.
  • Basic proficiency in Microsoft Windows Operating environments and Office Suite products.
  • Knowledge of Level of Care rules and regulations, CARES policies and procedures, and community resources related to elders and adults with disabilities.
  • Ability to compile, organize, and analyze client information.
  • Self-motivated with the ability to resolve differences constructively.
