The Operations Administrator role is a key member of the Manager Research Operations (MRO) group, responsible for providing advanced organizational and process management support across Global Investment Research. This unique hybrid role blends high-level administrative duties with broad project and process management responsibilities, supporting both individual team members and the wider research function through committee organization, process development, and the maintenance of Research-generated content. The Operations Administrator will coordinate and prioritize multiple work streams, balancing day-to-day administrative tasks such as complex calendar management, travel arrangements, meeting logistics, and ad hoc requests, with larger project-based assignments and committee coordination. Success in this role requires exceptional attention to detail, a proactive approach to problem-solving, and the ability to adapt to shifting priorities in a dynamic environment. Building and maintaining strong relationships with the sub-teams of MRO and broader research colleagues is essential, as is a deep understanding of team processes and evolving needs. The Operations Administrator serves as a central point of contact for administrative process questions and support, ensuring seamless workflow and contributing to the overall efficiency and effectiveness of the Manager Research Operations group.

  • Arrange and coordinate internal and external meetings, including high-volume scheduling, preparing agendas, materials, and appropriately maintaining necessary documentation
  • Organize and manage daily activities, complex calendars, and travel arrangements, including detailed itineraries for various trip types, as needed
  • Prepare and process time sheets, expense reports, and Amex statements as needed
  • Revise, edit, and proofread documents, PowerPoint presentations, and external comments, ensuring quality control and adherence to NDA guidelines
  • Oversee the creation, storage, and upkeep of MRO and Manager Research department content, including committee materials and online systems
  • Finalize and distribute Manager Research-generated content to internal and external platforms, supporting due diligence and editorial workflows
  • Assist in the planning, preparation, and execution of cross-group projects and initiatives, providing backup coverage across MRO, as needed
  • Manage and coordinate administrative processes, team coverage, and priorities across the Research Operations Administrative team
  • Acquire and maintain a broad understanding of compliance, CA-specific processes, and asset-class specific administrative needs
  • Build and maintain effective relationships with MRO, research colleagues, and other employees across the firm
  • Proactively identify and address situations requiring attention, adapting to evolving team and project needs
  • Provide guidance and training for monthly meeting best practices, supporting task management and process execution
  • Maintain high levels of communication with the administrative team, content team, and editorial team to effectively identify team needs and priorities
  • Take ownership of tasks and projects, demonstrating initiative, strong organizational skills, and the ability to triage and assign tasks as needed
  • Support the maintenance and execution of allocation processes and other ongoing or ad hoc projects as required
  • Bachelor's degree (any major) with 2 years of related administrative, operations, or project coordination experience preferred
  • Strong listening, writing, and communication skills suited for a broad range of audiences and individuals
  • Strong interpersonal skills and an ability to quickly build and sustain positive relationships
  • Advanced organizational skills; proactive with a keen attention to detail
  • Well-developed problem-solving and decision-making skills
  • Ability to prioritize work, manage multiple work streams simultaneously, and meet deadlines while delivering high-quality outcomes
  • Ability to tolerate ambiguity and effectively work through it
  • Ability to remain flexible and adapt to shifting priorities within Research and role
  • Dynamic and driven team contributor who is eager to learn and able to work independently and as part of a team
  • Discretion with highly confidential and sensitive information; familiarity with compliance protocols is a plus
  • Strong Microsoft Excel, Outlook, Word, PowerPoint, and Adobe Acrobat skills preferred
  • Experience with project management, process improvement, or content management systems preferred
