This Operations Administrator position requires the ability to multi-task in a fast-paced warehouse environment. To be successful, the ideal candidate would be able to demonstrate attention to detail across different functional areas. They should have the ability to meet specific deadlines, execute with efficient organizational skills, and the ability to adapt to change comfortably. Since this role has access to senior executives, a high level of integrity and discretion is a must when handling confidential information. Effective listening skills, the ability to take direction and professionalism in dealing with senior professionals inside and outside the company is key. Delivering completed tasks and projects quickly with little to no guidance, react with appropriate urgency to situations that require a quick turnaround, and take effective action without having to know the total picture will make this person successful. This position will work closely with the senior management team and HR Manager. The ability to communicate in a clear, concise manner across multiple media is important.

Requirements

• Candidate must have the ability to quickly learn organizational structure, team objectives and adapt to Fanatics values and vision along with a can-do attitude.
• Some flex hours may be required.
• The ideal candidate is able to work successfully in a team environment and build effective working relationships inside and outside of the group.
• Keep abreast of general business objectives, policies, standards, services, facilities, procedures and related information.
• Microsoft Office is essential (Microsoft Word, Excel, PowerPoint, SharePoint).
• Administration Assistant responsibilities/experience.
• Ability to communicate effectively with a variety of constituent groups such as senior management, peers, and outside contacts.
• Highly organized and detail oriented.
• High level of integrity and discretion to handle confidential information.
• Sound judgment and flexibility to prioritize and handle multiple assignments at any given time while maintaining commitment to deadlines with little to no direction.

• Previous project management or event planning experience preferred.

Responsibilities

• Responsible for developing the GMs' day-to-day schedules and prioritization of activities.
• Track and help drive completion of key deliverables and follow up on outstanding items.
• Drive key team activities, including staff and team meeting agendas and logistics, planning and logistics for team events and on-site activities, and manage local activities for org-wide events such as All-Hands events.
• Identify and coordinate most productive and cost-effective method for meetings including in-person, on-site, offsite, audio and/or video conferences.
• Act as liaison between the GM/HRM and teams, as requested and appropriate.
• Schedule cost effective air/hotel/ground transportation.
• Create detailed travel itineraries (including smooth transitions between time zones) and expense reports.
• Planning and coordinating for all internal and external events impacting the site.
• Assist Operations in time and attendance reporting & auditing.
• Setting, following and maintaining an extensive budget, expense reporting.
• Building and maintaining relationships with internal stakeholders and external vendors.
