About The Position

The Operations Administrator provides hands-on, day-to-day support to ensure the organization’s operations run smoothly and efficiently. This role assists with a wide range of operational tasks, including supply management, office setup, errands, and basic facilities upkeep. The Operations Administrator also supports front desk coverage as needed, helps coordinate team activities, and contributes to internal logistics for meetings and events. In addition, this role may provide transitional support to the Donated Equipment Program and assist with equipment handling and customer interactions as assigned. The position requires a high level of reliability, flexibility, and a willingness to support evolving organizational needs through routine, task-based work.

Requirements

  • High school diploma or equivalent.
  • Ability to complete physical tasks, including lifting up to 30 lbs.
  • Strong reliability, organization, and time-management skills.
  • Ability to be on-site during scheduled work hours.
  • Willingness to assist with a variety of operational tasks as needed.
  • Comfort with routine, hands-on work, and shifting daily priorities.
  • Professional communication skills and ability to interact with staff and visitors.
  • Ability to pass a background check.
  • Valid driver’s license & reliable vehicle.

Nice To Haves

  • Experience in office support, facilities support, or operations-related roles.
  • Comfort working in a fast-paced, task-oriented environment.

  • Microsoft Office 365 experience.
  • Experience using hand tools, power tools, and other basic maintenance equipment.

Responsibilities

  • Provide routine, task-based operational support as directed by the Operations Manager.
  • Support organizational supply needs through requested errands, supply pickups, deliveries, and basic logistics.
  • Support office setups, furniture moves, and space adjustments as directed by the Operations Manager.
  • Serve as front desk coverage during receptionist breaks, lunches, or as needed.
  • Support in-person office presence and basic reception needs when assigned.
  • Stock paper products and basic office supplies.
  • Perform minor facilities repairs and adjustments as guided by Operations Manager
  • Perform light snow or ice touch-ups around entrances as needed.
  • Water office plants.
  • Refill salt and basic safety supplies when necessary.
  • Assist with office setups, furniture moves, and space adjustments.
  • General building housekeeping support.
  • Provide transitional support for the Donated Equipment Program as needed.
  • Assist with physical handling and movement of donated equipment.
  • Support DEP customer interactions and coverage when assigned.
  • Coordinate monthly staff lunches.
  • Assist with internal office activities and basic team logistics as assigned.
  • Run organizational errands and pick up supplies as needed.
  • Support deliveries, room setups, and internal event logistics.
  • Track and submit mileage for approved travel.
  • Perform other duties as assigned to support organization and operational needs.
