Seeking a highly organized, energetic, and detailed-oriented Operations Administrator to be responsible for daily operations support needs of an operational division record keeping, daily time audit, labor entries, data entry, auditing time, housing assignments, facilitating the onboarding of new employees, and compliance support for HR and HSE departments. KEY OBJECTIVES Operations support to ensure the seamless execution of activities, including scheduling, coordinating logistics, maintaining records, and assisting with compliance and safety documentation. Deliver administrative support by managing documentation, coordinating communication, organizing schedules, and ensuring efficient office operations to support the team’s objectives. Identify opportunities for process improvement, streamline workflows, and implement efficient solutions to enhance the effectiveness and productivity of operations. Oversee resource management by tracking equipment, managing inventory, and optimizing allocation to ensure operation efficiency and support operational projects. Collaborate with cross-functional teams to facilitate communication, coordinate efforts, and ensure alignment in achieving project goals. Ensure compliance with industry regulations and company policies by maintaining accurate records, preparing required documentation, and submitting timely reports to support operations.

  • Audit time punches and follow up with each department on missing punches and labor allocation.
  • Enter time on invoices.
  • Ensure all time punches are entered, approved, and properly allocated.
  • Answer the phone for the main number in the office.
  • Responsible for maintaining accurate housing assignments.
  • Assist guests when they come into the office.
  • Prepare and distribute new hire packets, ensuring all necessary documents are completed and accurately and on time.
  • Assist with the preparation and maintenance of employee records.
  • Support HR and HSE teams with general administrative tasks, including filing, data entry, and document management.
  • Assist in organizing employee engagement activities and events to promote a positive workplace culture.
  • Ensure compliance with company policies, procedures, and legal requirements. Assist in maintaining accurate and up-to-date records for audits and reporting purposes.
  • Support the HSE team in monitoring and reporting on safety compliance and incident documentation.
  • High school diploma or equivalent required; associate or bachelor’s degree in business administration or a related field preferred.
  • Must be bilingual in Spanish
  • 2+ years of experience in an administrative role, with a focus on HR and HSE functions.
  • Strong organizational and time-management skills with an eye for detail.
  • Excellent verbal and written communication skills.
  • Ability to handle confidential information with discretion and professionalism.
