At Oceanit, we're seeking an Operations & Administrative Coordinator to provide superior support across shipping logistics, inventory and asset management, travel coordination, and general administrative functions. You'll play a key role in ensuring critical systems are well managed—from coordinating field deployment logistics to managing travel arrangements and supporting major company events. This is a dynamic position where no two days are the same—and your ability to problem-solve, prioritize, and keep things moving will make a real difference.

Requirements

  • High school diploma or GED required; a degree in business, logistics, or related field is preferred
  • Experience with shipping (hazardous materials experience is a plus)
  • Prior travel coordination experience
  • Excellent organizational and time management skills
  • Clear, professional communication—both verbal and written
  • Proficiency in Microsoft Office
  • Strong attention to detail and analytical problem-solving skills
  • A team-oriented mindset with flexibility to support multiple functions
  • Availability to work on-site, Monday-Friday, 8:00 AM - 5:00 PM

Responsibilities

  • Serve as the primary outbound shipping coordinator, including international, hazardous materials, and ITAR shipments
  • Support logistics for field deployments and reconcile all shipping invoices
  • Oversee company-wide inventory and asset management (both government- and Oceanit-owned)
  • Receive goods, update systems (JAMIS), and ensure compliance with asset tagging policies
  • Lead the annual physical inventory process
  • Help streamline and optimize storage space usage
  • Coordinate travel arrangements (air, hotel, rental cars, etc.) for teams across the company
  • Process and support travel reconciliation and documentation
  • Assist with company credit card reconciliation
  • Provide front desk coverage as needed
  • Support planning and execution of special events (e.g., Innovation Summit, Summer Picnic)
  • Run errands (e.g., Costco, Lex Brodie) and assist with ad hoc office needs
  • Provide back-up support to other administrative team members
  • Assist with company-wide purchasing and procurement processes as needed
