We’re looking for a highly organized and detail-driven Operations & Administrative Coordinator to support our team across licensing, safety, fleet management, inventory, and office operations. This is a key role that helps keep our operations running smoothly and our teams supported in the field and office.

Requirements

  • Strong organizational and multitasking skills
  • High attention to detail and follow-through
  • Proficiency in Microsoft Office (especially Excel)
  • Strong communication and teamwork skills
  • Ability to manage multiple priorities and deadlines
  • Experience in administrative or operations roles preferred

Nice To Haves

  • HVAC, construction, or service industry experience is a plus

Responsibilities

  • Licensing & Compliance Track and manage licensing requirements (SD Electrical, SD Commission Code classes, Wyoming Fire Marshal, Tribal licenses)
  • Ensure timely renewals and organized documentation
  • Safety Coordination Support safety initiatives alongside leadership
  • Prepare, organize, and document trainings (in-house & OSHA)
  • Maintain OSHA logs and safety records
  • Fleet Management & Compliance Track vehicles, trailers, and equipment (mileage, maintenance, repairs)
  • Ensure all fleet vehicles have proper registration, insurance, and documentation
  • Manage annual registrations (Oct/Nov)
  • Vehicle & Equipment Coordination Schedule windshield repairs and coordinate decals
  • Maintain spare key organization
  • Inventory & Shipping Assist with inventory labeling and biannual counts
  • Process warranty returns and repairs
  • Office Operations Order supplies and coordinate office needs
  • Schedule equipment repairs (copier, etc.)
  • Handle occasional supply runs
  • Technology Support Manage company phone tracking and updates
  • Set up new devices and coordinate returns
  • Accounting Support Match packing slips to invoices
  • Assist with material and filter order coordination
  • Additional Responsibilities Manage employee apparel inventory and orders
  • Organize year-end file archiving and shredding
  • Coordinate SDARNG security clearance list annually
  • Support ESOP and team-focused social media efforts
  • Assist with customer appreciation (Thanksgiving cards & gifts)
