This coordinator position requires the ability to multi-task in a fast-paced warehouse environment. To be successful, the ideal candidate would be able to demonstrate attention to detail across different functional areas. They should have the ability to meet specific deadlines, execute with efficient organizational skills, and the ability to adapt to change comfortably. Since this role has access to senior executives, a high level of integrity and discretion is a must when handling confidential information. Effective listening skills, the ability to take direction and professionalism in dealing with senior professionals inside and outside the company is key. Delivering completed tasks and projects quickly with little to no guidance, react with appropriate urgency to situations that require a quick turnaround, and take effective action without having to know the total picture will make this person successful. This position will work closely with the senior management team and HR Manager. The ability to communicate in a clear, concise manner across multiple media is important.

  • Act as an extension of the general manager and human resource manager.
  • Anticipate needs, think and plan ahead, manage time effectively.
  • Calendar management and travel coordination.
  • Assist with purchase orders and meeting agendas.
  • Develop the GMs' day-to-day schedules and prioritize activities.
  • Track and help drive completion of key deliverables and follow up on outstanding items.
  • Drive key team activities, including staff and team meeting agendas and logistics.
  • Plan and logistics for team events and manage local activities for org-wide events.
  • Identify and coordinate the most productive and cost-effective method for meetings.
  • Act as liaison between the GM/HRM and teams as requested.
  • Schedule cost-effective air/hotel/ground transportation.
  • Create detailed travel itineraries and expense reports.
  • Time and attendance reporting & auditing.
  • Microsoft Office is essential (Microsoft Word, Excel, PowerPoint, SharePoint).
  • Administration Assistant responsibilities/experience.
  • Experience in a distribution, retail, or critical infrastructure work environment.
  • Cross-functional staffing experience.
  • HRMS experience using systems like UltiPro or other HR payroll systems.
  • Previous project management or event planning experience.
