About The Position

This position requires a highly organized and proactive leader to oversee the daily operations within the department. The team member will focus on events, custodial, campus services, purchasing, furniture, fleet management, and office moves. Managing vendors, other team members and communicating with departments to ensure success. The position will require the management of administrative tasks, support team members, support campus inquiries and ensure a productive work environment. Excellent communication skills, strong organizational abilities, and must be a team player. Requirements

  • Strong background in office or department management.
  • Seasoned experience in event planning and scheduling
  • Ability to mentor departmental staff to enhance their performance, development and productivity.
  • Proven leadership role preferred.
  • Demonstrated project management skills.
  • Demonstrated proficiency knowledge of the Microsoft Office Suite is required
  • Ability to work independently and under minimal supervision
  • Knowledge of applicable building codes, ordinance and regulations of State and local authorities
  • Ability to interpret and comprehend blueprints and schematics
  • Ability to work in fast paced, rapidly changing environment and a STRONG work ethic and desire to learn.
  • Strong oral, written, and interpersonal communication skills, including the ability to work with diverse groups to provide positive customer service interactions.
  • Strong understanding of contracting vendors and vendor management
  • Strong working knowledge and understanding of established professional codes of ethics and best practices within a campus setting

Responsibilities

  • Takes a hands-on training approach to completing work orders and projects.
  • Oversees and actively works with B&G work order system and other Mt Mary systems
  • Manages the logistics to run an event at Mt Mary. Set-up, Take down, Storage, IT, Preclean, Post clean, and signage. Prepare and reviews documents to ensure the best possible customer experience.
  • Assists in the development of the Event program manual for training student workers. This would include summer events and school year events.
  • Works closely with the Grounds lead to manage the universities fleet of vehicles and schedules the usage requests.
  • Oversee calendar management for team members, scheduling meetings, schedule vendors and appointments as needed.
  • Support human resources functions including correcting employees, hiring and onboarding new employees.
  • Communicate effectively with department team members, students, faculty, and vendors to help with smooth operations.
  • Maintains an organized workspace and storage closets.
  • Perform clerical duties such as data entry, corresponding within email and Microsoft teams.
  • Ensuring a welcoming environment for visitors and clients.
  • Lead team management efforts by providing guidance and support to staff members. Including team meetings Aid in supervising daily office activities to ensure compliance with company policies.
  • Manages vendors to perform preventive maintenance tasks as well as repair projects.
  • Holds vendors accountable from quoting the task to invoicing. As well as warrantee work. Custodial Vendor, Equipment Rental Vendor, General and Hazardous waste Vendor Works as a project manager to keep track of projects and work orders.
  • Prepare schedules and reports as needed.
  • Performs other duties as assigned from time to time by Sr. Director of Operations.
  • Manages and tracks vendors and partners via department systems Manages small & large B&G cleaning projects
  • Supports the Sr. Director of Operations on larger projects
  • Ability to run a small crew of 2 to 4 employees as well as student workers.
  • Assists in the purchasing of supplies and replacement equipment.
  • Has several direct reports. Mailroom Manager, Custodial Maintenance Technician, and student workers
  • Perform other duties, responsibilities, or special projects assigned
