Requirements

  • Prior administrative, customer service, or HOA/property management experience preferred
  • Active Florida LCAM license preferred (not required unless specified by the association)
  • Strong customer service, organizational, and communication skills
  • Ability to multitask, prioritize, and meet deadlines
  • Proficiency in Microsoft Office (Word, Excel, PowerPoint)
  • Experience with scheduling tools and web-based software
  • Accurate data entry skills and attention to detail
  • Ability to communicate professionally in English (bilingual a plus)
  • Associate’s degree in business or related field preferred

Responsibilities

  • Serve as the primary point of contact at the front desk for residents, guests, vendors, and homeowners
  • Operate and manage a multi-line phone system and shared community inbox
  • Sort, distribute, scan, and process incoming mail, invoices, and notices
  • Perform accurate data entry for invoices, reimbursements, and records
  • Create and assign work orders for common-area maintenance and repairs
  • Maintain cleanliness and organization of the lobby, entrance, and refreshment station
  • Schedule resident event space rentals, inspections, and post-event walk-throughs
  • Process homeowner and vendor documentation (insurance, leasing, census)
  • Respond to resident, board, and vendor inquiries and document interactions in CiraNet
  • Assist with preparation of board and annual meeting materials, notices, and agendas
  • Attend meetings as needed to assist with setup, minutes, and follow-up items
  • Track and prepare homeowner violation correspondence and logs
  • Review and code accounts payable daily
  • Track vendor contracts, renewals, and assist with bid coordination
  • Maintain and update association records and governing documents
  • Proofread and distribute community communications
  • Support association events, committee meetings, and social functions
  • Perform other duties as assigned by the General Manager
