About The Position

The Oncology New Patient Coordinator at Penn Medicine is responsible for providing optimal coordination for new patients within the oncology suite. This role involves ensuring that patients are well-prepared for their first visit by coordinating care across multiple specialties, managing appointments, and facilitating communication to enhance the patient experience in a fast-paced environment.

Requirements

  • High School Diploma or GED required.
  • Minimum of 4 years of experience in a medical office setting or customer service, preferably with patient scheduling and coordination.
  • Knowledge of precertification requirements, CMS medical necessity, and third-party billing preferred.
  • Experience with spreadsheets and word processing software preferred.
  • Knowledge of medical terminology and office procedures required.

Nice To Haves

  • College level coursework in business, accounting, or healthcare administration strongly preferred.
  • Bachelor's degree in a related field preferred.

Responsibilities

  • Act as point of contact for all new patients for the oncology multispecialty practice.
  • Serve as specialty expert of nuances of care coordination to ensure patients are seen by the appropriate physician and specialty.
  • Schedule new patient appointments with the appropriate physician and/or group, emphasizing timely scheduling based on diagnosis.
  • Coordinate new patient appointments with Radiation Oncology and other practices within the healthcare system.
  • Follow new patient coordination protocols to ensure organized and seamless patient visits.
  • Coordinate all facets of new patient appointments, including scheduling, medical records, and test results.
  • Schedule diagnostic tests and evaluations prior to new patient appointments.
  • Respond to patient inquiries and problems, providing information about practice procedures and directions.
  • Coordinate the retrieval and flow of outside medical records for patient visits.
  • Manage physician new patient IDX schedules and prepare new patient charts 4 hours prior to appointments.
  • Reschedule new patient appointments as necessary.
  • Ensure optimal patient experience through effective coordination and communication.
  • Maintain compliance with regulatory standards and requirements.
  • Ensure patients are properly registered and referred to Financial Counseling, including copay collection.
  • Understand managed care plans and protocols for referrals and precertification.
  • Engage in practice operation changes and be proficient in necessary system applications.
