The Onsite Staffing Coordinator is responsible for overseeing on-site staffing operations, ensuring workforce fulfillment, compliance, and employee engagement. Acting as the primary liaison between MS Companies, employees, and the customer, the OSC ensures staffing orders are fulfilled, recruits are onboarded, compliance is maintained, and employees are supported throughout their assignments. This role requires strong organization, leadership, problem-solving, and relationship management skills in a fast-paced manufacturing environment.

  • Manage and track customer job orders ensuring staffing needs are met.
  • Source, screen, and onboard qualified candidates, ensuring they meet customer-specific requirements.
  • Schedule and coordinate candidate interviews, orientations, and start dates.
  • Maintain an accurate recruitment funnel, ensuring clean and updated records in the Applicant Tracking System (ATS).
  • Serve as the on-site point of contact for employees and customers, addressing any staffing concerns.
  • Oversee I-9 verification, background checks, drug screens, and OSHA/HazCom training for new hires.
  • Monitor attendance, performance, and workplace behavior, addressing issues as needed.
  • Conduct on-site check-ins and engagement meetings with employees and customers.
  • Ensure all safety and compliance requirements are met, conducting regular site assessments.
  • Manage timekeeping and payroll processes, ensuring employees are accurately paid on time.
  • Implement retention and incentive programs to support employee satisfaction and reduce turnover.
  • Communicate work expectations, provide coaching, and conduct performance evaluations.
  • Plan and facilitate employee engagement activities, including referral programs and recognition initiatives.
  • Conduct exit interviews to gather feedback and identify areas for continuous improvement.
  • Maintain and update customer account details, including hiring processes, job descriptions, and compliance requirements.
  • Generate and submit staffing reports, headcount data, attendance records, and compliance audits.
  • Ensure all employee documentation and records are accurate and up to date.
  • Oversee workforce analytics and performance metrics, identifying opportunities for operational improvements.
  • Bachelor's degree or equivalent experience in staffing, workforce management, or operations.
  • 2+ years of experience in staffing, recruiting, or on-site workforce coordination.
  • Proficiency in Applicant Tracking Systems (ATS), CRM software (Salesforce preferred), and Microsoft Office Suite.
  • Strong problem-solving and decision-making skills with a high sense of urgency.
  • Excellent relationship management, communication, and organizational skills.
  • Ability to work independently on-site and manage multiple priorities effectively.
