Requirements

  • Coursework/training or experience in public contact, customer service, and/or performing and applying office/clerical support procedures, including the use of a personal computer, associated software, and office equipment.
  • A valid driver’s license or the ability to provide independent authorized transportation
  • Basic knowledge of office tasks like filing, scanning, and data entry.
  • Good customer service skills – able to work with the public politely and professionally.
  • Comfortable using computers and common programs like Microsoft Word and Excel.
  • Clear communication skills, both in speaking and writing.
  • Able to stay organized and manage multiple tasks at once.
  • Pays attention to detail, especially when entering information or handling documents.
  • Can keep information private, especially when working with sensitive cases.
  • Willing and able to drive clients, including children, safely when needed.
  • Works well with a team and takes direction from supervisors.

Nice To Haves

  • Experience providing customer service or working with the public in a professional setting.
  • Familiarity with office equipment, answering phones, and using software such as Microsoft Office (Word, Excel).
  • Experience with data entry or working in databases.
  • Comfortable transporting clients or coordinating logistics, particularly for sensitive populations, with attention to safety and confidentiality

Responsibilities

  • Provide Front Desk Support
  • Greet and assist clients and visitors.
  • Answer and route incoming calls.
  • Monitor lobby activity and ensure a professional environment.
  • Administrative Case Support
  • Perform data entry for all case management functions.
  • Handle data entry related to legal actions.
  • Print, scan, fax, and file case documents.
  • ICWA Notice Processing
  • Prepare and send ICWA (Indian Child Welfare Act) notices to appropriate tribes.
  • Ensure accurate and timely communication in compliance with legal requirements.
  • Vehicle Fleet Management
  • Manage scheduling, maintenance, and usage logs for agency-owned vehicles.
  • Coordinate vehicle availability for staff transportation needs.
  • Support Staff with Referrals and Coordination
  • Assist staff in creating and submitting service referrals for clients.
  • Coordinate logistics and paperwork related to service provision.
  • Occasional Transportation Duties
  • Transport state wards to appointments or services as needed.
  • Maintain records of transportation activities.
  • General Office Duties
  • Maintain office supplies and organize common areas.
  • Support team members with special projects or urgent administrative needs.
  • Ensure confidentiality and accuracy in all documentation.
