About the position

The DTSC Hazardous Waste Management Program is looking for an Office Technician (Typing) to join our team! Under the supervision of the San Diego Enforcement and Emergency Response Division (EERD), Unit Chief, this position provides clerical support to the EERD San Diego office as well as other San Diego office programs. The Office Technician performs general support duties including, but not limited to, typing, filing, records management, complex document review, and preparing correspondence responses. Responsibilities

  • Research and assemble background material and provides requested reports, documents, or charts when preparing correspondence for the San Diego Enforcement Unit personnel
  • Review all correspondence prepared by the branch for proper format, grammar, mathematical computations and spelling
  • Review specified enforcement guidelines and ensures that formal policies and procedures are adhered to with respect to the format and quality of developed correspondence
  • Provide clerical support to the Unit, which includes typing letters, memos, answering phones and taking messages, copying documents, logging in the mail, distributing mail to staff, mailing documents, maintaining the Senior Environmental Scientist (Supervisory)'s calendar
  • Contact by mail, email or phone the local, State, Federal Agencies and our Mexican EPA counterparts to schedule meetings and/or training workshops with Border Unit Staff
  • Arrange to schedule meetings and/or training workshops with Border Unit staff

Requirements

  • Ability to read and interpret documents such as program applications, reports, and procedure manuals
  • Ability to function effectively in an electronic office; well-versed and skilled in the use of Microsoft Word, Excel, Outlook, Teams, and Adobe suite of products
  • Highly organized work habits and ability to work on multiple time-sensitive projects at one time
  • Ability to work and communicate effectively with Authority staff, other agencies, and outside vendors
  • Familiarity with accounting concepts
  • Excellent skills in evaluating complex documents, extracting detailed information and processing documents
  • Excellent writing skills to edit written material
  • Excellent communication skills to ensure quality customer service and to communicate with other staff and those contacted in the workplace
  • Excellent organizational skills to prioritize work assignments or projects
  • Excellent general office skills working in a team environment
  • Clerical work experience
  • Experience operating various office machines
  • Experience independently writing clear and comprehensive reports and keeping difficult records
  • Customer service skills (experience speaking with the public)
