Position Summary: Reliable, organized Office Support Specialist to support our team. The successful applicant will have a positive attitude, a desire to work as efficiently as possible, and excellent client-facing communication skills. If you have worked in a fast-paced office in the past and you enjoy establishing your own organizational systems, we could be a fit for you. We are looking for someone who can operate effectively with little or no supervision and who can manage multiple tasks at once without becoming overwhelmed. The Office Support Specialist is responsible for supporting our Sales Partner with administrative duties such data entry, order entry, customer service, office organization and other support to the Sales Partner. Primary communication methods in each of these areas will include phone support, email response and in person communication. Your job may grow and change over time as we progress in the respective office. As we see it right now, however, here are the activities that we want you to tackle:

Requirements

  • High School degree or higher preferred.
  • Experience working with sales partners, franchised or business owners to understand how best to build relationships and support their sales initiatives.
  • Proven success to effectively communicate (listening, writing and verbal) across all levels of an organization resulting to meet product delivery deadlines.
  • Previous success in an Account Management or Customer Service role, working with multiple accounts with strong problem solving and organization skills.
  • Proven ability to communicate at a high level both through email and interpersonal communication with influence and balanced with care and kindness.
  • Moderate to advanced skills with Microsoft Office and learning new systems/technology with understanding some work is processed manually.
  • Demonstrated success managing multiple processes and tasks at a time with strong organizational and detail skill.
  • A positive attitude with a focus on the learning the complete product cycle to better service the Sales Partner and the customer (school and student/parent).

Responsibilities

  • Assist with order taking and customer support at Order Taking Events
  • Complete order entry on time and accurately for Office
  • Maintain positive and professional communication and working relationship with Sales Partner and all Personnel. This includes being responsive and doing a quick turnaround on questions or concerns from the Sales Partner and internal personnel
  • Maintain organized office both electronically and physically with inventory, email or important documents
  • Responsive, jovial interactions with clients and customers
  • Provide high-level of customer service
  • Filing documents
  • Excel reports
  • Checking emails, Draft and sending emails
  • Should be able to communicate professionally, both in writing and verbally
  • Ability to perform in fast-paced environment
  • Answer phones and customer inquiries
  • Join the regular employee meeting as necessary and take notes
  • Field travel locally, working with schools, students and parents directly
  • Handling of confidential information, as well as credit card transactions in significant quantities
  • Other responsibilities as the office grows
