About The Position

The Office Support Manager serves as the point person for the front office reception and the internal coordination of company events and initiatives while supporting other cross-division projects, the position will also provide finance team support as needed. This position combines operational execution, financial accuracy, customer service, and team supervision. Essential Duties and Responsibilities of the Office Support Manager include the following. Requirements

  • 3+ years administrative, financial processing, or office management experience
  • Strong customer service orientation
  • High attention to detail and financial acumen
  • Strong organizational and coordination skills
  • Ability to manage multiple priorities with seasonal workload spikes
  • Strong MS Suite tools experience
  • Prefer Call Center / Office Phone systems experience
  • Prefer Experience with accounts receivable and collections processes

Responsibilities

  • Ensure professional, efficient customer experience
  • Supervise / coordinate reception staff, including coaching, timecard approval, and performance
  • Manage front counter interactions and incoming calls
  • Serve as the primary point of contact for customers at the main office
  • Provide backup support during high-volume propane and fuel call periods
  • Manage phone system messaging, holiday schedules, and call routing updates
  • Coordinate chat menu updates and system messaging
  • Provide light administrative IT/system support as needed
  • Support safety communications and mailing coordination
  • Apply customer payments accurately and timely across systems
  • Process daily auto-pay (credit card and e-check) transactions
  • Manage lockbox payment application
  • Support collections status and contact customers regarding failed payments
  • Run monthly credit reports and prepare collection correspondence
  • Transfer payments between systems as required
  • Support accounts payable, approvals, and expenses
  • Create and coordinate deposits
  • Maintain cash drawer reconciliation
  • Assist with tank inventory tracking and system entries
  • Maintain business card orders, office supply inventory, clothing orders/inventory
  • Support preparation and logistics for: Annual Meeting, Energy Meeting, Grower Meetings Customer Appreciation and Plot Days Employee engagement events
  • Coordinate uniform and promotional item ordering and distribution
  • Assist with annual record retention processes
  • Lead and support receptionist/front office staff
  • Manage scheduling, time off, performance feedback, and annual reviews
  • Ensure appropriate coverage and cross-training
