About The Position

The Park Office Support II Secretary works in an administrative position and is responsible for the efficient operation and management of workflow at various Park offices. Service to both internal and external customers is the focus of this position while data entry, filing and light bookkeeping are also part of the daily work.

Requirements

  • Must possess a High School or GED diploma.
  • Must have computer skills that include using email; Microsoft Office products such as Outlook, Excel, and Word; and navigating the internet.
  • Working knowledge of office equipment (facsimile, copier, printer, scanner, multi-line phone).
  • Knowledgeable of general business/secretarial practices.
  • Proficiency with a PC including Microsoft Office.
  • Comfortable with light bookkeeping and cash handling.
  • Effective written and oral communication skills.
  • Excellent customer service skills.
  • Ability to work with minimal supervision; self-motivated.
  • Ability to work in a fast-paced, multi-functioning environment.
  • Ability to sit for extended periods of time.
  • Ability to reach overhead and bend from the waist.
  • Ability to perform repetitive motions (stapling, collating, stamping, etc.)

Nice To Haves

  • Advanced secretarial schooling or training is preferred.

Responsibilities

  • Processes Park facility reservations and program registrations including pavilion rentals, ballfield league use, garden plots, pool passes, etc.
  • Answers phones and addresses public inquiries and complaints.
  • Performs procurement functions including generating purchase orders and vouchers and tracking blanket purchase orders.
  • Assists with invoice payment process
  • Enters blanket purchase orders
  • Files facility reservations, program registrations, and other office paperwork.
  • Assists with operation of the Shuts Environmental Library.
  • Generate and print maps, brochures, and other informational materials.
  • Serves as backup to Office Support III Secretary for bi-weekly payroll entry for the Department to include the main office, Environmental Education Center, Park Rangers, and Pool staff.
  • Generates and reconciles daily cash and credit card deposits.
  • Purges and archives the main office files on an annual basis.
  • Prepares, sends, and receives mail.
  • Assists with special projects.
  • Processes ballfield light reports.
  • Serves as backup to the Office Support III Secretary for bi-weekly payroll entry.
  • Performs other duties as assigned.
