About The Position

Under the direction of the District Attorney or designee of the District Attorney (i.e., Office Manager), this position performs a variety of complex administrative duties to assist Legal Assistants, Assistant District Attorneys, and the District Attorney handling confidential sensitive legal information in an appropriate and timely manner. Duties include prepare documents needed for court, correspondence, filing, answering the phone and assisting the public as needed. May serve as a back up to the Legal Assistants as requested.

Requirements

  • Associate's Degree in Administrative Assistant, Paralegal or related field.
  • One year of related work experience.

Responsibilities

  • Responsible for data input of referrals into PROTECT from law enforcement agencies and all other agencies that refer cases for prosecution to this office. Responsible for appropriately disseminating documents from the CCAP queue into the appropriate case files and update Attorney’s accordingly with time-sensitive documents.
  • Responsible for processing of non-prosecution cases for the office.
  • Issues subpoenas and writs for court dates and generates witness lists as requested.
  • Schedules and reset court dates on Attorney’s calendar. Retrieves files for all Attorney’s court appearances.
  • Answer phone calls, record and forward messages to Attorneys and Victim-Witness Office.
  • Must be able to maintain confidentiality with respect to the information in the office.
  • Retrieve files for the Attorneys’ court appearances.
  • Acts as department receptionist, greet customers, answer questions.
  • Maintain Attorneys’ calendars regarding court-scheduling and notices from the courts. Communicates changes with all parties involved.
  • Photocopy, file documents and other court related material appropriately.
  • Provides back-up support for legal secretaries as needed completing required tasks in a timely and accurate fashion.
  • Opens, sorts, dates, if necessary, distribute mail and articles for mailing.
  • Update legal publications according to requirements set forth.
  • Assists with backup coverage planning, evaluating priorities, and coordinating coverage for other team members as needed.
  • Performs other duties as assigned or that may develop.
  • Demonstrates dependable attendance.
