About The Position

The Office Services Specialist (part-time) in Chicago, IL, is a member of the facilities team within the Legal, Communications & Government Affairs function at Molson Coors. This role is responsible for the successful receipt, management, and delivery of mail and goods. The specialist must possess full knowledge of USPS, UPS, and FedEx processes and regulations, particularly regarding cost-effective shipping methods in the alcoholic beverage business.

Requirements

  • You have a high school degree/GED
  • You have knowledge of legal requirements, regulations and processes for shipping alcohol and beer
  • You can operate mailroom equipment, ability to lift 50 lbs, and load and unload delivery routes
  • You are proficient in Microsoft Word, Excel and Outlook
  • You communicate clearly and effectively with all levels within the company and manage professionally confidential information
  • You work independently with little supervision in a deadline-driven environment
  • You love a challenge. You complete complex projects quickly and adeptly with your understanding of the business priorities and manage professionally confidential information

Responsibilities

  • Execute planned deliveries, pick ups and specialized mail needs
  • Accept, sort, calculate and apply postage utilizing processes and distribute incoming and outgoing mail according to USPS guidelines, internal procedures, safety requirement goals and deadlines
  • Complete mailing process by weighing, metering and sealing outgoing mail
  • Process and manifest inbound and outbound express and bulk mail and cross - train new employees in express area
  • Track all dollars spent on mail, permits, USPS, FedEx, postage used and process monthly reports for finance
  • Follow up on all undeliverable packages with sender
  • Audit airbills to ensure accuracy, delivery and appropriate charges
  • Order and update supplies to ensure adequate quantity for all size shipments are available
  • Ensure business code directories are current
  • Maintain monthly charge-back reports for all forms, mail and copy
  • Update and communicate all personnel moves and mail stops in respective areas
  • Maintain equipment and quality controls of work by operating, inspecting and performing minor repairs on equipment
  • Communicate with vendors, agencies, brands and sales departments regarding their mail support needs
