About The Position

We are seeking an Office Specialist to perform daily clerical duties in our Sheriff's Office. The Office Specialist will perform a variety of working-level, complex clerical duties as needed to provide day-to-day administrative and clerical support for the Sheriff's Office, including transcription in the administrative division, accounts receivable, inmate accounting, patrol records, pay-for-stay, accounts payable, or mail service. The office specialist may cross-train in all areas of office support operations. The Office Specialist is a full-time, benefitted position. The hourly wage for this position starts at $20.33. Available benefits include medical, dental, vision, and life insurance on the first day of employment, retirement contributions, bereavement leave, and 14 paid holidays. Full-time employees also receive 18 days of personal leave in the first year of employment.

Requirements

  • Graduation from High School and coursework in general office practices and secretarial duties
  • Two years general office experience or an equivalent combination of education and experience
  • Working knowledge of modern office practices and procedures, grammar, spelling, and punctuation
  • Familiarity with various numeric and alpha record systems
  • Proficiency in MS Office, Excel, Word, Quicken, etc.
  • Understanding of general office management practices and procedures of the Sheriff's Office
  • Knowledge of the civil functions of the Sheriff's Office and its interrelationship with other county departments
  • Interpersonal communication skills
  • Computer terminal operation and programs unique to civil document processing requirements
  • Some knowledge of law enforcement software
  • Knowledge of administrative procedures and legal processes associated with the maintenance of public records and documents
  • Understanding of GRAMA
  • Basic bookkeeping and accounting skills

Responsibilities

  • Perform clerical duties such as searching files, filing, sorting and distributing facility mail
  • Answer telephones and relay messages
  • Receive, store and distribute supplies
  • Maintain inventory
  • Operate a computer, printer, copy machine, paper shredder, telephone, fax machine, 10-Key, scanner, etc.
  • Fill in data on standard office forms
  • Make postings to various records
  • Collate and assemble materials according to established methods and procedures
  • Compose and type correspondence as directed
