About The Position

Hennepin Healthcare is an integrated system of care that includes HCMC, a nationally recognized Level I Adult Trauma Center and Level I Pediatric Trauma Center and acute care hospital, as well as a clinic system with primary care clinics located in Minneapolis and across Hennepin County. The comprehensive healthcare system includes a 473-bed academic medical center, a large outpatient Clinic & Specialty Center, and a network of clinics in the North Loop, Whittier, and East Lake Street neighborhoods of Minneapolis, and in the suburban communities of Brooklyn Park, Golden Valley, Richfield, and St. Anthony Village. Hennepin Healthcare has a large psychiatric program, home care, and operates a research institute, philanthropic foundation, and Hennepin EMS. The system is operated by Hennepin Healthcare System, Inc., a subsidiary corporation of Hennepin County. We are currently seeking an Office Specialist Principal to join our HIM Operations team. This full-time role will primarily work Hybrid (SHIFT: day and every 3rd weekend, one major, one minor holiday plus rotating MLK day every 3 years). Under limited supervision, performs work involving the application of technical expertise and independent judgment to the preparation of specialized departmental documents, the use of computerized information systems, public service contact, and administrative support.

Requirements

  • High School diploma or equivalent
  • Three years of office clerical experience -OR- An approved combination of education and experience
  • 2 years post-secondary education preferred
  • Some positions require specific experience and/or education related to the position

Responsibilities

  • Collect, evaluate, screen, relay, and respond to a broad range of requests for information from the public and other staff representing different levels of the organization; explain a variety of requirements, policies, and procedures regarding services; write and revise rules, procedures, and manuals related to departmental policies; analyze, resolve, and notify people of action taken regarding difficult problems and concerns
  • Process and verify complex information and calculations on forms, documents, and requisitions; assist with preparation of financial reports and budgets; monitor and maintain day-to-day departmental budget transactions; process complex and fiscally sensitive transactions involving department- and county-wide operations
  • Input, retrieve, and modify information and data stored in computerized systems; assist other users with problems associated with computerized systems and programs; generate reports using computer software; train and/or coordinate training of users on the use of computerized systems and programs
  • Write, prepare, and proofread original correspondence, specialized reports, lists, tables, and other specialized departmental documents
  • Work in multiple computer systems/programs and transfer data accurately
  • Develop and maintain schedules and address staffing plans and needs
  • Timecard and payroll assistance as delegated
  • Maintain the integrity of the patient record by managing the Master Patient Index (MPI), reviewing duplicate patients, verifying deceased patients and updating patient status, and monitoring various reports
  • Assist with chart correction requests including but not limited to contact moves, epic everywhere unlinking, and merging patient records
  • Provide on Call Coverage as needed for HIM after hours requests
  • Support HIM team with onsite training and complete health information tasks such as indexing and quality review
  • Complete transcription quality review and follow up as assigned
  • Other duties as assigned
