Summary of Duties The Office of Developmental Disabilities Services (ODDS) administers state-funded programs for persons with developmental disabilities including but not limited to planning, resource development, standard setting, budget development, consultation, technical assistance, and monitoring and evaluation. The ODDS Children's Services team oversees several programs, including the Children's Host Homes program, Children's Intensive In-home Services (CIIS), and the Children's Residential (CR) program. These programs coordinate Medicaid-funded services for children with the highest levels of support needs-both behavioral and medical-to ensure their health, safety, and overall well-being. Children's Services supports families across Oregon, whether the child lives at home or in an out-of-home placement. As an Office Specialist 2, you will: Provide support to the staff of the Office of Developmental Disability Services, Children's Services, Children's Intensive In-Home Services and Children's Residential Program and to function as a team member of the ODDS support unit. Provide Support case management activities for children enrolled in the CIIS and CR placement programs to ensure coordinated care and service delivery. Provide a wide variety of secretarial, technical or administrative related tasks to support the operations of the ODDS and to function as a team member of the ODDS support unit. Sends Mail to external partners. Sets up Zoom and Teams meetings for staff and partners. Schedules meetings and other activities for the staff. Takes notes at meetings. Other tasks assigned.

Requirements

  • A valid driver's license and acceptable driving record is required.
  • Two years of general clerical experience, one year of which included typing, word processing, or other experience generating documents.
  • OR
  • An Associate degree in any field.
  • OR
  • An equivalent combination of education and experience. (Graduated from a private school of business with a certificate AND one year of general clerical experience.)
  • Experience reviewing documents and information for accuracy, completeness, and adherence to established guidelines.
  • Experience recording accurate and detailed meeting minutes in a professional setting.
  • Experience using database programs and Microsoft Office applications, including Word, Excel, and Outlook.
  • Experience delivering customer service in an office environment, including sharing information clearly and researching answers when needed.
  • Experience managing competing requests and shifting priorities while meeting deadlines.
  • Experience working collaboratively with diverse individuals and maintaining confidentiality when handling sensitive information.
