About The Position

The Office Specialist II position provides advanced clerical, administrative, and customer service support for Yakima County District Court operations. This position plays a critical role in ensuring fair, timely, and accessible justice by supporting court clerks, judges, probation staff, and the public. The Office Specialist II exercises independent judgment, applies knowledge of court procedures and legal terminology, and ensures accurate processing and documentation of court cases in compliance with established statutes, court rules, and internal procedures.

Requirements

  • High School Diploma or G.E.D AND four (4) years of general office experience OR any combination of experience or training which provides the knowledge, skills and abilities sufficient to successfully perform the essential duties of the job.
  • Bilingual (English/Spanish)
  • Valid WA State driver’s license and proof of insurance, if requested.
  • Employment offers are contingent upon successful completion of a criminal and financial background investigation and general employment verification.
  • This job will require traveling to Yakima to cover court dockets and/or cashier window duties as needed on a short notice timeframe.

  • Legal clerical experience or working knowledge of the court system, in particular the role and function of Courts of Limited Jurisdiction.

Responsibilities

  • Respond to phone calls, emails, instant messages and in-person inquiries regarding court procedures, case statuses, filing requirements, and other related matters.
  • Provide clear, accurate, and timely information, ensuring individuals understand the necessary steps for their legal matters.
  • Guide individuals through the court processes, including how to file documents, understand legal terms, and navigate court services.
  • Provide information on applicable court rules, deadlines, and requirements in a manner that is easy to understand.
  • Direct court customers to appropriate departments, courtrooms, or personnel based on their needs.
  • Provide information on court dates, hearings, and trials and when appropriate assist with scheduling or rescheduling of court dates.
  • Document all pertinent contact with litigants/defendants' information in the case management system.
  • Delivers excellent customer service through phone, chat, and in-person interactions, responding to questions in a professional, courteous, and helpful manner.
  • Evaluates each inquiry to determine what information can be shared, ensuring compliance with confidentiality regulations.
  • When requested, provides records, ensuring that only records that can be disclosed are provided, following all necessary procedures for release.
  • Actively listens to and addresses customer concerns, making every effort to resolve issues or problems efficiently and effectively while maintaining a high level of customer satisfaction.
  • Open all incoming mail, sort it, and distribute it to the appropriate staff for further processing.
  • Record any cash received by mail and ensure it is promptly receipted in accordance with established procedures.
  • Handle mail returns, including docketing and scanning both the envelope and its contents.
  • Process criminal infraction and civil filings in accordance with established court procedures and data validations requirements.
  • Enter new cases and processes motions, pleadings, disposition, orders, judgments summons, warrants and related legal documents.
  • Maintain accurate and up-to-date records by docketing case actions and entering judgment and sentencing information.
  • Scans, uploads, and properly indexes documents with the case management system.
