About The Position

The Office Services Specialist is responsible for coordinating the daily operations of the Oklahoma City office. This role ensures office procedures run efficiently, oversees the front desk and reception area, manages office supplies and vendor relationships, and supports a clean, organized, and professional work environment. Responsibilities include processing mail and correspondence, managing conference room scheduling in Outlook, coordinating building access and maintenance requests, and providing support to visitors and employees.

Requirements

  • Proven experience as an office coordinator, administrative assistant, or in a similar office operations role.
  • Strong organizational and multitasking abilities with excellent attention to detail.
  • Effective communication and interpersonal skills.
  • Proficiency with Microsoft Office Suite and general office software.
  • Problem solving skills and the ability to work independently and proactively.

Nice To Haves

  • Familiarity with workplace safety and security procedures is a plus.

Responsibilities

  • Reception & Front Desk Management Serve as the primary point of contact at the 5th floor front desk, greeting guests and maintaining a professional, welcoming environment.
  • Coordinate visitor arrivals with the first floor security guard and ensure all visitor check-in procedures are followed.
  • Manage incoming calls and direct inquiries appropriately.
  • Office Operations & Communication Organize and oversee daily office operations to maintain an efficient and orderly workspace.
  • Act as a liaison between the Oklahoma City office and other Riley Permian locations to support consistent communication and workflow.
  • Review, distribute, and route daily mail and correspondence.
  • Office Supply & Inventory Management Manage inventory of office supplies, equipment, snacks, and related materials.
  • Reorder and restock items as needed while maintaining cost effective purchasing practices.
  • Coordinate the ordering of company branded items for employees.
  • Vendor & Facilities Management Maintain relationships with building management, office vendors, and service providers.
  • Report maintenance issues and ensure timely completion of repairs or services.
  • Arrange and coordinate ongoing office services (cleaning, equipment repairs, etc.).
  • Security & Safety Support Partner with the on‑site security guard to support safe and efficient access to the building and office spaces.
  • Assist with visitor protocols and escalate safety or security concerns as needed.
  • Support adherence to workplace safety expectations and company procedures.
  • Conference Room & Scheduling Support Maintain the conference room calendar and manage reservations through Microsoft Outlook.
  • Ensure meeting rooms remain clean, organized, and properly stocked.
  • Any and all duties as requested or required.
