About The Position

Performs various administrative and clerical duties to support the office’s daily operations in all assigned areas of responsibility, including general office support, coordination of travel and meeting logistics, assistance with facility maintenance and security needs, and inventory management.

Requirements

  • 2+ years of work experience in administrative, secretarial, general office support, or receptionist roles, required.

Nice To Haves

  • Current Notary license/certificate or able to obtain license/certificate, preferred.
  • Prior work experience in Banking, Commercial insurance, Commercial construction, and/or Commercial Property Management, preferred.

Responsibilities

  • Greets customers entering the area with a friendly and positive demeanor and anticipates needs, when appropriate, to exceed customer service expectations.
  • Provides administrative and clerical support to Senior Managing Directors located at facility
  • Keeps facility stocked with office supplies, kitchen supplies (including coffee), and anything else necessary for daily operations.
  • Coordinates internal/external meetings; maintain meeting calendar. Prepares conference rooms for meetings as necessary
  • Assist with and coordinate travel logistics as necessary.
  • Maintains professional telephone etiquette and message delivery and ensures all matters are handled in a professional manner.
  • Sorts departmental mail; FedEx, UPS shipments.
  • Provides assistance to others in department as needed.
  • Assists with reporting of office maintenance and service support tickets to Corporate Facilities
  • Assists Facilities Management in coordinating maintenance with various contractors, vendors (i.e., janitorial, HVAC); and communicates progress and/or issues on projects and/or maintenance.
  • Inputs all location-specific invoices into the accounts payable system.
  • Coordinates with Security to provide appropriate access to the office for employees, visitors, and vendors.
  • Reports security systems malfunctions for system maintenance/service issues.
  • Assists in the coordination of emergency preparedness and emergency response needs.
  • Performs other duties as assigned.
