About The Position

The Office Services Coordinator plays a crucial role in the Human Resources department at UFCW Employers Benefits Plans of Northern California. Requirements

  • Associate's degree from an accredited college or university.
  • Up to 1 year of related experience in Human Resources or office services.
  • Working knowledge of practices and procedures relating to office services maintenance.
  • Interpersonal skills to develop and maintain effective working relationships.
  • Skill in operating modern office equipment such as PCs, copiers, and scanners.
  • Ability to apply sound judgment and resolve problems effectively.
  • Ability to handle confidential information with discretion.
  • Proficiency in English grammar and basic mathematical functions.

Responsibilities

  • Serve as the primary point of contact for various vendors and providers.
  • Act as a liaison between building management and departments regarding requests.
  • Coordinate, monitor, and track all service requests.
  • Order, re-order, and stock supplies as needed.
  • Schedule office maintenance activities.
  • Work with vendors to coordinate work schedules and facilitate access.
  • Ensure HIPAA security compliance regarding access cards and keys.
  • Create and maintain standard operating procedures.
  • Coordinate employee onboarding and offboarding related to office services.
  • Assist Senior Director in annual budget for office services.
  • Coordinate employee events such as luncheons and celebrations.
  • Draft and distribute employee communication documents related to office matters.
  • Order ergonomic equipment and coordinate evaluations if needed.
  • Draft and order business cards and milestone anniversary awards.
  • Perform first aid kit checks and order supplies.
  • Coordinate office or cubicle moves and update seating charts.
  • Distribute incoming and outgoing Human Resources mail.
  • Order and maintain Human Resources supplies.
  • Assist with Human Resources meeting preparation.
  • Assist with recruitment processes including job postings and scheduling interviews.
  • Coordinate and administer special projects as needed.
