About The Position

Cranfill Sumner LLP is seeking a part‑time Office Services Assistant to support daily office operations in our Raleigh office. This position plays a key role in keeping the office running smoothly by providing administrative, logistical, and facilities support to attorneys and staff. The ideal candidate is dependable, detail‑oriented, service‑focused, and comfortable working in a fast‑paced legal environment. Position Overview The Office Services Assistant supports firm operations through mail handling, deliveries, document production, equipment and supply maintenance, and general office support. This role requires flexibility, strong time management, and the ability to shift priorities to meet firm and client needs. The position also involves regular interaction with attorneys, staff, courts, and external vendors, requiring professionalism and discretion at all times.

Requirements

  • Must be proficient in Microsoft Office Suite; Word, Outlook, etc.
  • Ability to complete tasks assigned in a timely fashion

Responsibilities

  • Pick up, process, scan and distribute mail
  • Assist with trial preparation, document production, scanning, copying, and file management
  • Maintain kitchens, conference rooms, library, and office equipment
  • Restock supplies and perform basic copier/printer maintenance
  • Provide reception coverage, VTC set‑up, furniture moves, and other operational support
  • Perform deliveries and filings at courthouses, agencies, and other law firms
  • Perform other duties as assigned
  • Pick up and drop off mail to/from US Post Office
  • Process and distribute mail
  • Make deliveries on behalf of the firm, to include filings at the County Courthouse, Industrial Commission, Court of Appeals, Supreme Court, other law firms, and out of town deliveries
  • Document delivery/set up/break down during trials or other off-site meetings or firm events
  • Assist with trial prep, as may be assigned
  • Receipt, logging and delivery of internal faxes
  • Assist with daily document/notebook production, as instructed by attorneys or other support staff
  • Photocopying/printing from e-mails, CDs
  • Scanning and burning CDs
  • Duplication of Videotapes, DVDs, and CDs
  • Maintenance of Kitchens, Conference Rooms, and Library
  • Daily maintenance of copiers/printers/fax machines, to include restocking paper, changing toner cartridges, etc.
  • Restocking and/or inventory of supplies
  • Filing for attorneys and staff
  • Assist with closing of files
  • Provide assistance on reception desk, as needed
  • VTC set up, as needed
  • Office furniture moving and set up, as needed
  • Empty office recycle bins
  • Other duties as may be assigned
