About The Position

All Year Cooling is seeking a full-time Office Receptionist to join their team in South Florida. This role is essential for providing exceptional customer service and ensuring smooth administrative operations within the office. The receptionist will be the first point of contact for customers, contributing to a positive experience through professionalism and effective communication.

Requirements

• Proficiency in English is essential for this role
• Proven experience as an Office Receptionist or in a similar customer service role
• Excellent verbal and written communication skills, with a friendly and professional phone demeanor
• Strong organizational and multitasking abilities, with the ability to prioritize tasks effectively
• Proficiency in using office equipment, such as computers, printers, and telephone systems
• Exceptional customer service skills and the ability to handle customer inquiries and requests with patience and professionalism
• Detail-oriented and able to maintain accurate records and documentation
• Strong computer skills, including proficiency in Microsoft Office Suite
• Ability to work independently and as part of a team
• Ability to maintain confidentiality and handle sensitive information with discretion
• High school diploma or equivalent

Responsibilities

• Greet and welcome visitors in a friendly and professional manner, ensuring a positive first impression of the company
• Answer incoming phone calls and direct them to the appropriate department or individual
• Respond to customer inquiries, providing information about services, pricing, and appointment scheduling
• Assist customers in confirming and scheduling service appointments, providing updates regarding their scheduled appointments, and conducting post-service debriefings
• Maintain a neat and organized reception area, ensuring it is presentable at all times
• Receive and distribute mail, packages, and deliveries, ensuring timely and accurate distribution
• Provide general administrative support, such as photocopying, filing, data entry, and document preparation
• Assist with other administrative tasks and projects as assigned by management
