Your Future TeamThe Receptionist will play a critical role in creating a positive first impression for visitors, clients, and employees at Hightower’s Chicago office. As the first point of contact for our organization, you will be responsible for delivering customer service while efficiently managing various administrative tasks.

Requirements

  • High school diploma or equivalent
  • 3+ year of experience in a receptionist or customer service role
  • Strong interpersonal and communication skills
  • Professional appearance and demeanor
  • Ability to multitask, stay organized, and manage competing priorities
  • Proficiency in Microsoft Office Suite and basic office equipment
  • Attention to detail and strong organizational skills
  • Ability to maintain confidentiality and handle sensitive information with discretion
  • You are a U.S. citizen, U.S. permanent resident or possess other unrestricted U.S. work authorization and will not require sponsorship for U.S. work authorization now or anytime in the future.

Responsibilities

  • Greet and welcome visitors with a friendly and professional demeanor
  • Answer and direct incoming calls, emails and inquiries to appropriate personnel or departments
  • Manage and maintain a tidy and organized reception area
  • Register and sign in visitors, issue visitor badges, and notify appropriate staff of visitor arrivals
  • Provide information to visitors and direct them to the relevant person or department
  • Assist with a variety of administrative tasks, including data entry, photocopying, faxing, and filing
  • Handle incoming and outgoing mail and packages
  • Relay messages accurately to the intended recipients
  • Maintain a secure and safe reception area by following security protocols
  • Monitor and report any suspicious or unusual activities
  • Assist with scheduling appointments and meetings as needed
  • Manage conference room bookings
  • Assist with coordinating team lunches or meals, as requested
  • Assist with coordinating office events and celebrations with other team members
