About The Position

A busy office in Beverly Hills is seeking a top-notch receptionist/assistant to help them keep their office running smoothly. The position is Monday through Friday, from 8:30am-6:30pm. The candidate should already be living locally or within a commutable distance to the Beverly Hills area. The position is ready to hire!

Requirements

  • Legal to work in the US
  • Prior executive assistant or admistrative/office experience
  • No job too big/small mentality
  • Proactive and able to work independently

Responsibilities

  • Monitor all calls and voice messages coming through the mainline
  • Keep track of all kitchen inventory/restocking of all office provisions
  • Monitoring and ordering office supplies
  • Organizing pantry and storage areas and replenishing
  • Refill the coffee machine water tank multiple times daily
  • Weekly walkthrough and inspection of all offices
  • Manage reservation requests and appointments for the small and large conference rooms
  • Handle conference room requests, register visitors with security, and handle calendar logistics for executives
  • Prepare and label any certified mail and tracking delivery progress,
  • Prepare and ship FedEx and UPS packages
  • Open and scan all or distribute accordingly
  • Greet visitors, providing parking validation, refreshments, and other accommodations
  • Run errands, as required
  • Work with the cleaning staff to ensure cleaning requests are fulfilled
  • Scheduling repairs and regular services as needed
