We are seeking a Receptionist and Client Experience Coordinator to join our team at Colliers. As the first point of contact for clients and visitors, you will play a crucial role in providing exceptional customer service and maintaining a welcoming environment. In addition to traditional reception duties, you will be responsible for the upkeep and performance of our client amenities and conferencing areas, ensuring they reflect Collier’s commitment to excellence.

  • Act as the first point of contact at reception; greet and direct visitors to appropriate Colliers employees.
  • Monitor and respond to calls on the general office phone line.
  • Provide concierge-level service within the amenity space during business hours.
  • Assist team/CSC with client meeting setup/clean-up.
  • Maintain the cleanliness, organization, and readiness of amenity and conference rooms.
  • Oversee café area use, encouraging cleanliness and restocking as needed (e.g., running dishwashers, ensuring availability of dishware).
  • Collaborate with the Marketing team to prepare amenity spaces for internal and external events, including occasional after-hours support.
  • Manage physical access credentials for building and Colliers space.
  • Oversee inventory, ordering, and restocking of all office supplies.
  • Ensure functionality and organization of copier and supply rooms.
  • Support with mail distribution & coordinate business card ordering.
  • Previous experience in a receptionist or customer service role preferred.
  • Proficient in MS Office Suite, including MS Word, Outlook, Excel, PowerPoint.
  • Excellent communication and interpersonal skills, with the ability to interact professionally with clients and colleagues.
  • Strong organizational skills and attention to detail.
  • Ability to multitask and prioritize responsibilities in a fast-paced environment.
