About The Position

The Office Operations Intern will support daily business operations across multiple departments, with a primary focus on Human Resources, recruiting coordination, and administrative organization. This role will also provide customer service support as needed, approximately three days per week, offering valuable exposure to both internal operations and customer-facing responsibilities. This is an excellent opportunity for someone looking to gain hands-on experience in HR, operations, and business support within a fast-paced environment.

Requirements

  • Currently pursuing a degree in Business Administration, Human Resources, or related field (preferred)
  • Strong organizational skills and attention to detail
  • Ability to handle confidential information with professionalism
  • Strong communication and interpersonal skills
  • Ability to multitask and adapt in a fast-paced environment
  • Proficiency in Microsoft Office (Excel, Word, Outlook) Customer-focused with a professional and positive attitude.
  • Ability to lift, move, and organize files and boxes (up to ~25 lbs)
  • Ability to stand, bend, and move during organization projects
  • Self-motivated, detail-oriented, and capable of working independently.
  • Analytical mindset with problem-solving skills to address customer concerns.

Responsibilities

  • Assist with scheduling interviews and coordinating candidate communications
  • Help review resumes and maintain organization within the applicant tracking system (ATS)
  • Support job postings and recruiting efforts as needed
  • Assist with onboarding preparation (new hire paperwork, orientation materials, etc.)
  • Organize and maintain the HR storage/filing closet
  • Scan, file, and digitize employee records to ensure compliance and accessibility
  • Maintain accurate and organized documentation (physical and electronic files)
  • Provide administrative support across departments as needed
  • Assist with employee engagement initiatives and company events
  • Support special projects and operational improvements
  • Help maintain a clean, organized, and efficient office environment
  • Respond to customer inquiries via phone, email, and Microsoft Teams.
  • Support issue resolution by escalating complex cases as needed.
  • Assist in processing sales orders, ensuring accuracy in pricing and documentation.
  • Manage customer requests related to order fulfillment, including pricing, product availability, and shipment tracking.
  • Ensure compliance with order fulfillment and ISO procedures to maintain operational efficiency.
  • Maintain accurate records of customer interactions and feedback.
  • Participate in training sessions and team meetings to enhance knowledge and skills.
  • Identify areas for improvement to enhance customer satisfaction.
  • Follow environmental and safety regulations, ensuring compliance with all U.S. laws.
  • Build and maintain strong relationships with internal teams, including the sales team, to ensure seamless communication and customer support.
