About The Position

Join Wordly's fast growing global team! Office Operations Associate We're a globally distributed team with a small but mighty Los Altos office hub. We're looking for a dependable, personable Office Operations Associate to keep things running smoothly, both for our local space and in support of our remote-first workforce. This part-time role is ideal for someone who enjoys variety, handles sensitive information with care, and takes pride in being the person who makes everything just work. Wordly caters to numerous customers around the world which include local organizations and businesses; government entities; Fortune 500 companies; and much, much more. While this is a fully remote position, office space in Los Altos, California is available for San Francisco Bay Area residents that wish to utilize it.

Requirements

  • 2+ years of experience in an office, administrative, or HR support role
  • Comfortable working independently in a remote-first environment
  • Strong organizational skills with sharp attention to detail
  • Warm, clear communication style across written and async channels (email, Slack, etc.)
  • Proficiency with Google Workspace or Microsoft 365
  • Discreet and trustworthy when handling confidential employee information
  • Self-starter who manages priorities well without close supervision

Nice To Haves

  • Familiarity with HRIS tools a plus
  • Associate's degree or equivalent experience preferred

Responsibilities

  • Be on-site two afternoons per week to manage office operations, receive deliveries, and ensure the space is stocked and welcoming
  • Serve as the primary contact for vendors, building management, and facilities requests
  • Manage office supplies, equipment inventory, and coordinate repairs or replacements
  • Greet occasional visitors and support in-office meeting logistics
  • Support onboarding for both remote and local hires — welcome coordination, equipment shipping, system access, and first-day logistics
  • Maintain organized employee records and HR files in compliance with company policies
  • Assist with benefits communications, open enrollment, and routine employee inquiries
  • Help schedule interviews, team events, and all-hands meetings across time zones
  • Provide calendar and scheduling support to leadership, with sensitivity to global time zones
  • Process invoices, expense reports, and support light bookkeeping coordination
  • Draft and distribute internal communications, memos, and announcements
  • Help plan and execute in-office gatherings and virtual team events
