About The Position

This role entails performing basic to general administrative functions to support office leadership and staff, ensuring the smooth day-to-day operations of the office.

Requirements

  • Proficient in Microsoft Office Suite including Word, Excel, Teams, and Outlook.
  • 3+ years of experience in administrative or office duties within industrial, engineering, or property management industries.
  • Strong customer service skills.
  • Excellent written and verbal communication skills.
  • Ability to multitask and prioritize effectively.
  • Strong organizational skills.

Nice To Haves

  • Working knowledge of Microsoft Office Suite/O365 applications.

Responsibilities

  • Perform routine technical and administrative tasks under close supervision.
  • Answer and direct office main line phone calls.
  • Assist or serve as Safety Coordinator by updating evacuation and business continuity plans, organizing safety trainings, and ordering equipment.
  • Support event activities and compliance with the Employee Engagement & Citizenship Program.
  • Assist with processing timesheets and expense reports.
  • Coordinate travel and meeting arrangements.
  • Order lunches and assist with staff and client meetings.
  • Receive vendors, guests, and client visitations, handling security access, parking, amenities, seating, and safety.
  • Process vendor invoices and sort, distribute, and process mail.
  • Track office accounts payable.
  • Perform other job-related duties as assigned.
