The Office of Global Engineering Leadership assists all engineering students with global and experiential learning opportunities. The Administrative Coordinator is an integral member of the Global Engineering Leadership team.

Requirements

  • Bachelor’s degree from an accredited college or university.
  • One (1) year of professional administrative or coordinator experience.
  • Additional work experience as defined above may be substituted on a year for year basis for up to four (4) years of the required education.
  • Knowledge of best practices in organization, administration, and customer service.
  • Knowledge of proper protocol in dealing with confidential information.
  • Skill in oral and written communication.
  • Skill in the use of Microsoft Office and Google Workspace (Docs, Sheets, Slides, Forms, etc.)
  • Ability to interpret and apply policies, procedures, regulations, and laws.
  • Ability to multitask while demonstrating a commitment to customer service.

Nice To Haves

  • Higher Education Experience: 2+ years of experience in a higher education setting, specifically within student affairs, academic advising, or global programs
  • Financial & Data Management: Prior experience managing grants, processing travel reimbursements, or performing basic data management
  • Specialized Software: Working knowledge of university-specific systems such as Concur, Workday, SIS, and TerraDotta
  • Web & Outreach: Experience with basic website maintenance and managing professional social media or newsletter platforms

Responsibilities

  • Financial Administration: Manage financial processes for student organizations, including MESO grants, Giving Day donations, and procurement; ensure strict compliance with Federal, State, and University policies.
  • Travel Oversight: Lead the travel coordination process (Concur) for student organizations and experiential programs, ensuring adherence to University travel regulations.
  • MESO Coordination: Administer the MESO recognition process, maintaining the website and tracking organization eligibility, progress, and benefit usage.
  • Event Logistics: Support the Program Manager in executing MESO events, training sessions, and the annual Student Org Fair.
  • Campus Liaison: Partner with SORC and the SGA to help engineering organizations navigate campus-level funding and resources.
  • Student Engagement: Act as a “Student Involvement Ambassador,” connecting students to experiential opportunities within the Clark School and its affiliates.
  • Transcript Processing: Manage the receipt, tracking, and preparation of study abroad transcripts for the Registrar’s Transfer Credit Services, ensuring accuracy and accreditation compliance.
  • Exchange Workflow: Coordinate course permission requests for incoming international engineering exchange students.
  • Course Evaluations: Administer the study abroad course evaluation workflow and database; identify efficiencies to improve processing timelines.
  • Communications: Manage the weekly Engineering FYI student newsletter and serve as the primary point of contact for shared office email accounts.
  • Web Management: Maintain the Office of Global Engineering Leadership website, ensuring content accuracy and developing student resource pages.
  • Office Travel & Procurement: Administer Concur travel for Office of Global Engineering staff, faculty, and contractors; manage office supplies, event catering, and suite-shared expenses (e.g., contracts and encumbrance tracking).
